Ameresco is looking for an Operations Administrator that will play a key role in supporting the day-to-day operations of our national operations team. This position involves handling various administrative tasks, ensuring smooth and efficient communication, and contributing to the success of operational processes. The role requires someone who thrives in a fast-paced, detail-oriented environment and is passionate about the renewable energy industry.

Candidates will be required to work in our Westborough office 5 days a week.

Responsibilities:

  • Schedule, organize, and coordinate meetings for the operations team, ensuring all logistics are in place (virtual or in-person).

  • Maintain calendars and assist in prioritizing meeting requests for team members.

  • Prepare meeting agendas and take notes as a scribe during meetings, ensuring accurate records are captured.

  • Actively participate in meetings by taking clear and concise notes, ensuring important discussions, decisions, and action items are well-documented.

  • Distribute meeting notes and follow up on action items, as required. Maintain and update spreadsheets related to operations activities, schedules, inventory, and performance data.

  • Organize and manage the company’s Computerized Maintenance Management System (CMMS), ensuring that all data is accurate and up-to-date.

  • Assist with tracking project timelines, budgets, and operational resources.

  • Identify and implement efficient means of supporting operations, from administrative tasks to operational process improvements.

  • Assist with data entry, report generation, and overall administrative support for national operations.

  • Act as a liaison between the operations team and other departments to ensure smooth communication and coordination.

  • Assist in the preparation of reports and presentations for internal and external stakeholders.

  • Provide additional administrative support as needed to the Director of Operations and other team members.

  • Manage and maintain filing systems, both physical and electronic, to ensure easy access to important documentation.

Minimum Qualifications:

  • At minimum, completion of an Associate’s Degree in Business Administration, Operations Management, Renewable Energy, or related field preferred.

  • Minimum of 1 year of experience in an administrative or operational support role, preferably in the renewable energy, solar, or engineering industry.

Additional Qualifications:

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).

  • Familiarity with spreadsheets, data entry, and maintenance management software (CMMS) is a plus.

  • Strong organizational and time management skills with the ability to manage multiple tasks simultaneously.

  • Excellent verbal and written communication skills.

  • Attention to detail and ability to work independently.

  • Ability to adapt and thrive in a fast-paced, evolving environment.
