The Production Team at JUSTIN is seeking an experienced Operations Administrative Assistant. This is a critical role within JUSTIN Vineyards & Winery, providing essential support to the operations team while working at the direction of the Operations Specialist. This position requires a meticulous and organized individual to manage administrative tasks, data entry, and inventory control. Your work will directly contribute to the smooth and efficient operation of our winery, ensuring the highest quality standards are maintained.

This is an on-site position based in Paso Robles, CA and the work schedule is Monday - Friday (7:00 am - 3:30 pm) with the exception of harvest season, when overtime and weekend work may be required.

Job Description

  • Review and process completed work orders, accurately recording information including lot numbers for chemicals in the Crafted ERP system
  • Maintain monthly inventory of chemicals and cellar supplies in the Crafted ERP system
  • Conduct inventory cycle counts on a regular basis
  • Assist in the daily auditing and closing of Bottling Production Orders
  • Update the daily bottling report and reconcile with the Crafted ERP system for accurate TTB reporting
  • Track Finished Goods inventory depletion through outbound logistics/shipping, auditing against Oracle Bill of Lading and BI reporting tools for accurate TTB reporting
  • Track shipping and receiving movements, auditing against Winery ERP reporting for accurate TTB reporting
  • Assist with auditing Grape weight tags and all harvest-related responsibilities
  • Support the Month-end Close process to meet financial and calendar deadlines
  • Conduct daily, weekly, and monthly ERP system audits
  • Assist with ERP system testing as needed
  • Perform general office administrative tasks as required, including coordinating office supplies, water, coffee, and snacks with the Front Desk Administrative Assistant

Qualifications

  • 3 years experience in general office responsibilities and procedures
  • Computer and systems capability – including MS Office Suite/Excel and winery management software
  • High school diploma or general education degree (GED)
  • Must be able to perform basic calculations and assemble data in spreadsheets and charts/graphs
  • Excellent communication written and verbal skills; ability to compose concise and effective communication
  • Ability to apply common sense understanding to carry out detailed written or oral instructions. Ability to problem solve using limited information
  • Embrace transparency, collaboration, and change

Pay Range: $22.00 - $24.00 per hour. Final compensation will be dependent upon skills and experience.
