Summary

We are looking for an Office Support Specialist to be an assistant to the Water Plant Manager. Are you a strong communicator? We need an Office Support Specialist (OSS) with strong communications skills to collaborate with team members and other units across the organization about process, equipment and to problem- solve. As the OSS you will be responsible for providing professional phone coverage, managing schedules, coordinating meetings, handling travel itineraries, and additional administrative duties. We will rely on you to plan, organize, and lead a variety of business operations, general and specialized administrative activities including, but not limited to answering multi-line phones, maintaining calendars, handling information requests, preparing correspondences and reports, data entry, record-keeping, conducting investigations, analyses, and evaluations for the Water Plant.

Job Responsibilities

  • You will perform routine correspondence in response to inquiries and complaints and handle routine contacts with other divisions or sections of the organization
  • You will maintain accurate records; complete record-keeping, typing, transcription and similar work. You will have the autonomy to design and utilize filing systems
  • As an OSS you can use your strong mathematical skills by checking arithmetic computations and balance figures and classify items for entry into bookkeeping records and assist in preparing the division's budget
  • Perform more complex clerical and office work such as billing activities, the recording of data in the preparation of work/training schedules for team members, the coordinating of activity records for the preparation of periodic or special reports
  • Maintain calendars for organizational staff and schedule tours, trainings and meetings for the Water Operations team.
  • You will operate standard office equipment such as personal computers, printers, copiers, scanners, fax, etc.
  • You will take meeting minutes, type them up, and distribute them
  • You will process approving payroll
  • You will create and edit presentations

    Required Education and Experience

    At the time of application:

    • A High School Diploma or GED
    • Minimum one (1) year of experience performing clerical or administrative support
    • Office Support Specialist who meets all the requirements to advance within two

    (2) years from level 1 designation, may be promoted to the Office Support Specialist level 2

    Knowledge, skills and abilities

    • You have knowledge of routine and complex clerical operations
    • You can work effectively in a team-based, flexible workforce with minimal supervision
    • You are knowledgeable of office dynamics and organizational structures and able to interact well with GLWA staff, customers and vendors
    • You have the skill to analyze information and compile data and understand basic business and statistical concepts
    • You are skilled in using advanced technology and have job-related expertise and experience with information systems
    • You are knowledgeable of Excel, PowerPoint, Word, and Outlook

    Physical Requirements:
    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential duties of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential duties.
    This position may require sitting and standing for prolonged periods of time, light to moderate lifting, reaching, pulling, and carrying. Manual dexterity and audiovisual/linguistic acuity are required.

    Environmental Working Requirements:
    Work is performed in an office or plant environment with exposure to computer screens, noise, large moving equipment, and vehicles, potentially hazardous substances, fumes, and airborne particles in the plant. Work may be performed in confined spaces, hazardous areas that require respiratory protection and personal protective equipment (PPE), and under slippery and wet conditions.
    Other Requirements:
    Valid Michigan Driver’s License
    Ability to work irregular hours, to commute to GLWA facilities and work sites, and respond to after hour emergencies and on-call responses

    What We Do

    The Great Lakes Water Authority (GLWA) is a regional water and sewer authority that services nearly 40 percent of the water customers in Michigan

    On June 12, 2015, history was made as the Great Lakes Water Authority and the City of Detroit entered into 40-year leases providing for GLWA’s operation of the regional water and sewer system. On January 1, 2016, GLWA began regional operations. GLWA is an important example of regional collaboration in southeast Michigan, with the City of Detroit, the counties of Wayne, Oakland, and Macomb, and the State of Michigan officially uniting to ensure that both city and suburban water and sewer customers have a powerful voice in the management and direction of one of largest water and wastewater utilities in the United States.

    With the stand-up of the new authority, GLWA assumed operational, infrastructure improvements, environmental compliance and budget-setting responsibilities for the regional water and sewage treatment plants, major water transmission mains and sewage interceptors, and related facilities. These facilities are leased from the City of Detroit for an allocation of $50 million per year to fund capital improvements for the City of Detroit retail system and/or Detroit’s share of capital improvements to the regional system.

    Currently GLWA provides wholesale water and waste water services to 126 municipalities in seven Southeastern Michigan counties, which is equivalent to approximately 3.9 million customers.

    In keeping with the spirit of collaboration from which GLWA was created, the authority is governed by a Board of Directors that includes one representative each from Oakland, Macomb and Wayne counties as well as two representatives from the City of Detroit, and one appointed by the Governor of the State of Michigan to represent customer communities outside the tri-county area
