JOB SUMMARY
We are seeking a detail-oriented and proactive Office Coordinator to ensure the smooth operation of our corporate office. This part-time permanent position is located in Bellevue, Washington and requires 15 hours per week, Monday - Thursday from 9 AM to 1 PM. This role is responsible for maintaining a clean, organized, and well-stocked office environment while supporting associates and executive teams with administrative tasks. The ideal candidate is a team player with strong organizational skills and excellent customer service abilities.

WHAT YOU WILL DO

  • Maintain overall office cleanliness and organization, with special attention to kitchen, break rooms, and conference rooms.

  • Conduct daily office walkthroughs to ensure supplies are stocked, areas are tidy, and maintenance needs are addressed.

  • Assist in setting up and cleaning up in-house events in collaboration with the Office Manager and CEO’s Assistant.

  • Coordinate office repairs and guide contractors or engineers to designated areas as needed.

  • Ensure conference rooms are orderly, stocked with supplies, and updated with current phone lists.

  • Oversee and restock supplies in the Mail Center and Copier Room for all departments.

  • Train and assist the Corporate Receptionist with mail processes, including handling Pitney Bowes, FedEx, and multifunctional copiers/scanners.

  • Share receptionist duties as needed.

  • Manage office supply orders through vendors like Staples and Costco.

  • Organize monthly birthday celebrations and other office events.

  • Maintain and update corporate phone and executive contact lists.

  • Order company letterhead and envelopes.

  • Keep the Executive pantry stocked with fresh fruit, health bars, and water.

  • Coordinate and facilitate lunch orders, room setup, and cleanup for senior executive weekly meetings.

  • Perform additional duties as assigned to support office operations.

WHAT YOU WILL NEED

  • High School Diploma or equivalent.

  • Minimum of 2 years of experience in a corporate office environment, preferably in customer service or administrative roles.

  • Intermediate proficiency in Microsoft Outlook, Word, and Excel.

  • Strong organizational and multitasking abilities.

  • Excellent communication and customer service skills.

  • Ability to lift up to 25 lbs.

  • Flexibility to work scheduled hours with the ability to adjust or extend hours as needed for events and office needs.

The salary range for this position is $31.25 - $43.75 per hour. New hires generally start between $31.25 - $37.50 per hour. The final salary offer will be determined after reviewing relevant factors, including but not limited to skill sets; relevant experience; internal equity; and other business and organizational needs.

This role is also eligible to participate in Essex’s discretionary Annual Bonus program that is commensurate with the level of the position.
