Office Operations Coordinator - Part Time
Part Time | Chicago , IL based only.
The Office Operations Coordinator is responsible for the seamless operation of the SPINS Chicago Campus. The ideal candidate is someone who thrives on being proactive, supremely organized and diligently attentive to detail. Experience managing projects and office environments is preferred; background or experience in retail data, marketing, or customer care is of interest. This role will be onsite and part-time, up to 20 hours per week and reports to the Corporate Events & Internal Program Manager.
Job Duties & Responsibilities
Office Operations
- Manage the day-to-day operations of the SPINS Chicago Campus, ensuring a welcoming and efficient environment.
- Greet and welcome visitors (with the utmost hospitality and professionalism)
- Maintain office cleanliness, organization, and supplies, including restocking kitchens and office equipment.
- Manage incoming/outgoing mail and packages, including scanning HR/Finance mail.
- Pack new-hire boxes
- Act as a secondary building contact and provide backup support to the Office Manager.
- Ensure office security by managing key fobs and access control.
- Maintain office supply inventory and place orders when needed while ensuring cost effectiveness
- Coordinate office repairs and maintenance as needed.
- Assist with meeting preparation, including catering and room setup.
Requirements:
Education & Experience
- Two or more years of experience as an office-setting manager.
- Strong interpersonal and communication skills, with the ability to work effectively with diverse teams and vendors.
- Exceptional organizational and multitasking skills, with a keen attention to detail.
- Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability
- Proficiency with office applications, and aptitude for learning new software and systems
- Ability to maintain confidentiality of company information
- Proficiency in Microsoft Office Suite.
- A positive, can-do attitude and a willingness to go the extra mile
- Ability to be on-site 3-5 days per week.
The following is strongly preferred:
- Bachelor’s degree or equivalent
- Prior experience as an Executive Assistant
Salary Range: $15-$20 per hour
