We’re on the lookout for an enthusiastic self-starting Office Manager who can help us provide exceptional customer service and administrative support to our Vegas team as they step into a brand-new office space and continue the build of their premier Innovation Lab. As the face of our organization, the Office coordinator plays a crucial role in creating a positive and welcoming atmosphere for our team and all visitors dropping into one of our fastest growing and strongest markets at Boldyn. Based in our Las Vegas office you’ll be responsible for classic office management duties as well as coordinating the move and construction activities for our new office opening in May.
What you’ll be doing
As part of the operations team, you’ll play a vital role in ensuring a seamless experience for clients and internal employees. At all levels, colleagues will rely on your project management and customer service to keep things moving daily. It’s a role with a lot of variety, and day-to-day, you’ll mainly be involved with:
- Oversee daily office operations, including managing team lead schedules, handling scheduling office/innovation lab visits, shipping and receiving, and maintaining office supplies and equipment.
- Creating shipping labels / mailing packages / receiving inventory, including preparing and track UPS, FedEx, and USPS shipments.
- Greet visitors, answer phone calls, and direct inquiries to the appropriate personnel.
- Organize and coordinate meetings, conferences, and special events.
- Maintain office records, including invoices, receipts, and other important documents.
- Ensure the office environment is clean, organized, and conducive to productivity.
- Manage the office’s conference rooms calendars and reservations.
- Liaise with the landlord and property management on any necessary upkeep, additions or adjustments to the space.
- Sit on the national culture committee representing the Vegas market and team.
- Run all engagement activities for the Vegas market including coordinating Volunteer days, wellness centered events, team lunch, holiday centered social events, and quarterly social hours.
- Support the relocation project management of the office to a new location in collaboration with Asset Management.
- Coordinate with movers, property management, and facilities teams to ensure a smooth transition.
- Communicate with staff to provide updates and instructions regarding the move and all office activities.
- Set up the new office space, including arranging furniture, equipment, and supplies.
- Address any issues that arise during the move and ensure minimal disruption to operations.
- Assist the leadership team with administrative tasks, including scheduling, travel arrangements, and expense reporting.
- Handle confidential information with discretion and professionalism.
- Provide support to other departments as needed.

- High School Degree or GED; AA or BA preferred.
- 3-5 Reception/Administrative Experience to Senior Leaders.
- Intermediate knowledge of MS Office applications.
- Strong time management and prioritization skills; must adeptly manage multiple priorities and tasks.
- Must possess high standards, attention to detail, results orientation, and organization skills.
- Must be able to collaborate leveraging strong interpersonal skills with high approachability and likeability; must be able to work effectively with all levels of internal and external customers.
- Must possess uncompromising ethics, discretion, and ability to handle sensitive and confidential information.
- Must possess professional composure and strong executive presence.
- Must be flexible and easily adapt to changing work environments and unforeseen delays/changes.
- Must be proactive and be able to anticipate needs and potential obstacles in advance.
- Must be resourceful and creative and can identify and resolve problems in a timely and efficient manner.
