Job Summary:
BlueVoyant is seeking a dedicated and highly organized Office Manager to join our team at our College Park, MD office. This role is crucial in facilitating a "return to office" working arrangement, ensuring a smooth transition for our team. The Office Manager will initially be required to be onsite two times a week, with the expectation to increase to 4-5 days a week. The ideal candidate will have a strong sense of professionalism, excellent communication skills, and the ability to manage multiple tasks efficiently.
Key Responsibilities:

  • Office Operations:
    • Stock and manage office supplies, ensuring inventory levels are maintained.
    • Ensure the office facilities are safe, clean, and presentable at all times.
    • Arrange for necessary repairs and maintenance in a timely manner.
    • Coordinate with cleaning and maintenance services to maintain a high standard of office cleanliness and functionality.
  • Administrative Duties:
    • Perform general administrative tasks, including but not limited to, managing correspondence, scheduling meetings, and handling phone calls.
    • Maintain organized records and files, both physical and digital.
  • Client and Executive Visits:
    • Collaborate with local operations leaders to support and host client and executive visits.
    • Ensure a high level of professionalism is maintained during all visits and interactions.
    • Prepare meeting rooms and necessary materials for all visits.
  • Event Coordination:
    • Facilitate and coordinate details for company team offsite events hosted at the College Park location.
    • Manage logistics for events, including catering, transportation, and accommodation arrangements.
  • Communication and Coordination:
    • Serve as a point of contact for internal and external stakeholders.
    • Communicate effectively with team members and leadership to ensure smooth operations.
    • Assist in developing and implementing office policies and procedures.
  • Support and Collaboration:
    • Work closely with HR and management to support employee engagement and office culture initiatives.
    • Assist in onboarding new employees by preparing workspaces and necessary documentation.

Minimum Requirements:

  • Proven experience as an Office Manager, Administrative Assistant, or in a similar role.
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficiency in office software (e.g., MS Office Suite) and familiarity with office equipment.
  • Ability to work independently and as part of a team.
  • High level of professionalism and discretion.
  • Ability to problem-solve and address issues proactively.
  • Flexibility to adapt to changing work schedules and environments.

Preferred Qualifications:

  • Experience in event planning and coordination.
  • Familiarity with safety regulations and compliance standards.
  • Bachelor’s degree in business administration, Management, or related field.
