Job Description

What You Will Do:

The Office Manager will work cooperatively with all staff in expediting the general flow of work pertaining to the office and program including reception, general office/clerical duties and administrative projects across the state.

The Office Manager position also involves the supervision of a team of three Office Coordinators. Supervisory tasks may include providing training and direction to employees, monitoring the quality and timeliness of employees' work, processing payroll for direct reports, completing employee evaluations, and recruiting, interviewing, and hiring new Office Coordinators.

Responsibilities include but are not limited to:

  • Ensuring office functions are conducted efficiently and accurately
  • Providing oversight of area offices and Office Coordinators
  • Overseeing the use of office equipment and supplies
  • Managing office budget
  • Maintaining office records and files
  • Assisting in the orientation & training of staff
  • Assisting program managers and directors in completion of administrative tasks
  • Assisting in the development and maintenance of office administrative systems and procedures
  • Acting as Local Help Desk contact for Directors, Program Managers, and state personnel, fielding IS related questions

Work Environment and Office Hours:

This position is fully onsite and is based out of the Dungarvin Madison office. This is a full-time, exempt position, with typical hours Monday through Friday 8am-5pm. Minimal overnight travel may be expected (approximately twice per year). Schedule must be flexible to accommodate administrative and program deadlines.

Driving Requirement:

This is a limited driving position, defined as one that requires an employee to drive a motor vehicle as a part of their Dungarvin work, but the position does not require, or allow, the employee to drive motor vehicles owned or leased by Dungarvin, or to transport persons served in any motor vehicle, including the employee’s own vehicle.

Qualifications

What Makes You a Great Fit:

  • Must be at least 18 years of age
  • High school diploma or GED certificate is required
  • At least 2 years related administrative experience (experience in an office setting strongly preferred)
  • Experience providing administrative support to manager- or director-level team members
  • One year of prior supervisory experience is required
  • Ability to organize and prioritize multiple projects 
  • Intermediate knowledge of Microsoft Word, Excel, Outlook, and SharePoint
  • Willingness to initiate improvement and expansion of existing systems
  • Valid driver's license with acceptable driving record
  • Reliable vehicle with current auto liability insurance

Our founders Tim Madden (24 years old) and Diane (23 years old) decided to start a business that would provide community housing for people with intellectual and developmental disabilities. Through diligent research and planned Tim and Diane officially opened their first 15 person residential program in St. Paul, Minnesota in March 1976. Tim and Diane were the live-ins for that first program and they have continued their leadership of the organization since. Through the success of that program Dungarvin has grown to employ approximately 4,000 people who currently provide supports to over 4,712 individuals across 14 states.
