The Office Manager is responsible for providing administrative support to the Berlin Tempelhofer Hafen office. This position is a temporary role, expected to last approx. until the end of the year, with a workload of 12+ hours per week, spread across 3 days. The Office Manager is the first point of contact for all visitors—both internal and external. He/she oversees all organizational tasks impacting on the Berlin office, including Health Management and other general office duties.
What You'll Work On
- Managing incoming and outgoing mail, including regular post and the info-mailbox
- Handling company phone and responding to related requests
- Dispatching letters and parcels
- Ensuring the proper functioning of office devices and equipment
- Overseeing office maintenance, including kitchen, groceries, coffee machine, garbage, etc.
- Supplying the office with office supplies, promotional materials, equipment, and groceries
- Handling on-site requests and ad hoc tasks
- Reserving and preparing conference rooms (as needed)
- Ordering lunch and catering (on request)
- Acting as the point of contact for our landlord (as needed)

Your Experiences and Qualifications
- Administrative Experience: Basic office tasks like handling mail, supplies, and equipment.
- Communication: Clear and professional phone and email communication in English (required); additional proficiency in German is preferred.
- Organization: Ability to manage and prioritize tasks efficiently.
- Technical Skills: Familiarity with office equipment and basic troubleshooting.
- Flexibility: Willingness to handle ad-hoc tasks as needed.
