Overview:
ISS STOXX is looking for an Office Manager for our Hong Kong office. The Office Manager will be responsible in ensuring smooth operation of the office and providing administrative support across the organization.
Responsibilities:

Provide daily on-site support to our Hong Kong office and liaise with other offices globally.

Manage office and pantry supplies inventory, order, receive and unpack the deliveries.

Manage postal and courier services including receiving company documents and internal dispatchment.

Manage relationships with vendors, review and reconcile invoices.
-
Assist with planning and coordination of internal events such as company town halls meetings, executive meetings and off sites, office lunches, team events, and holiday parties.

Assist with Office access.

Liaise with building maintenance, contractors and cleaning staff as needed to ensure that office is clean and in good working condition.

Maintain safe and clean office common areas.

Coordinate on-site internal and external visitors seating and support.

Coordinate booking of conference and meeting rooms.

Provide help with global Facilities Management projects.

Support with onboarding new joiners and offboarding for exiting staff with remote managers.

Work with the Management Team to provide ad-hoc HR/Finance support and language translation support.
Qualifications:
-
With at least 3-5 years of admin or office management experience
-
Good grasp of English language and Cantonese, written and spoken, Mandarin or Japanese would be a plus
-
Knowledgeable in MS Office applications

Must have a work permit for non-local residents.

Must communicate well and with good presentation skills.

Preferably with OSH experience and exposure on CSR projects
-
Must know how to prioritize and multitask.
