Position:
Accelerant Law is seeking an Office Manager / Legal Assistant. This role serves as the central hub for daily office operations, ensuring a smooth workflow by managing visitor reception, communication channels, deliveries, supplies, and scheduling. They also provide vital support to attorneys and paralegals as through administrative tasks, data management, and maintaining a clean and organized work environment.
Location: This role is based in Washington, DC and requires 4 days per week in office
Essential Responsibilities:

  • Positively and professionally interact with clients and team members on behalf of the firm while maintaining strict confidentiality. Monitor visitor access and maintain office security.
  • Work closely with attorneys and paralegals to support trust administration and estate administration work.
  • Prepare and send Firm engagement letters, cover letters, signing instructions, and other communications to accompany legal documents.
  • Coordinate with administrative meeting preparations and onsite meeting support including preparing meeting packets, printing materials, confirming clients, issuing document copies, and hospitality. Coordinate catering requests.
  • Schedule appointments and assist with other client communications. 
  • Provide general administrative assistance including photocopying, scanning, printing, organizing, and filing legal documents, mailing, shipping, meeting registrations, expense tracking, travel arrangements and other administrative requests. 
  • Manage and maintain office inventory system, office equipment, and kitchen supplies (e.g., food and beverages). Maintain cleanliness of the office with attention to reception, conference rooms, kitchen, and other common-space.
  • Liaison with property management company and other vendors as needed to request, coordinate, and track cleaning, repairs, and other maintenance needs.
  • Assist with the preparation of reports and presentations as needed.

Knowledge, Skills and Abilities

  • General knowledge of and all other documents related to foundational estate planning preferred. These included, and are not limited to, revocable trusts, wills, POAs, health care directives, and irrevocable trusts (GRATs, IDGTs, ILITs, etc.). 
  • Able to support preparation of complex legal documents, contracts, amendments, and other related items with strict confidentiality. 
  • A resourceful self-starter who takes initiative to quickly assimilate and apply new knowledge. Comfortable wearing different hats, assuming different responsibilities, and assisting others as the need arises.
  • Ability to prioritize workload and adapt to changes in a dynamic work environment. Effective under pressure and high-volume situations with multiple priorities and deadlines.
  • Meticulous, organized, self-motivated, practical, and flexible. 
  • Strong verbal and written communication skills. Able to effectively communicate information. Open to receiving and giving feedback.
  • Able to work independently while also developing strong internal and external relationships.
  • Builds trust, honors commitments, and treats all with respect; uses those skills to reach consensus, produce high quality work, and accomplish tasks by the deadlines. 
  • Possess an aptitude for technology and proficiency in MS Office Suite, Google products, and Clio, with advanced skills in Excel.


Experience/Education Requirements:

  • Associate or technical degree in business, law, accounting, or administrative support required with bachelor’s degree preferred. 
  • 3+ years of administrative experience in legal, consulting, or financial services, along with an understanding of professional service industry standards and expectations.
  • Experience working in Trusts & Estates law or with ultra-high net worth families and individuals preferred.
  • Demonstrated related experience may be substituted for required education.


Compensation:
The salary range for this role is $75,000-$85,000, based on relevant experience.
