Reporting to the Vice President, Human Resources and Administration, the Office Coordinator will play a key role in ensuring smooth day-to-day operations in our office environment as well as provide administrative support to the Human Resources team when needed.  

Responsibilities:

  • Assist the Leadership team with travel including airfare, hotels, transportation, etc.
  • Responsible for partnering with employees traveling to India from the USA; including airfare, hotels, VISAs, and health needs including vaccinations.
  • Daily, review voicemails received on the main phone line and route them to the appropriate individual(s).
  • Promptly greet visitors; determine the purpose of each person's visit and direct/escort them to the appropriate location.
  • Regularly inventory office supplies on the 1st and 3rd floors and place orders as necessary.
  • Collect and disperse mail every in-office workday; distribute all packages including FedEx, UPS, and Amazon.
  • Provide meeting and client event support, including ordering meals, coordinating conference room readiness, and attendee needs such as Uber/Lyft as necessary.
  • Coordinate all internal events including celebrations, holiday functions, product launches, etc., partnering with the HR team and in some cases other departments.
  • Facilitate and place catering orders as needed for in-office meetings and events. 
  • Assist with new hire logistics including name plates, Fob entry, parking transponders, etc. 
  • Facilitate and place business card orders as requested. 
  • Manage San Diego office lunch account administration for employees.
  • Act as liaison and assist with vendor management (coffee, water, snack service, janitorial staff, plants, etc.). 
  • Manage all internal swag including new hires, sales requests, etc.; keep storeroom organized and inventory maintained. 
  • Notify the landlord of the building for any needs such as plumbing, electrical, etc.; coordinate any external maintenance needs (i.e. refrigerator, window cleaning, etc.). 
  • General office end-of-day tidy up; ensure there are no safety issues.
  • Perform other duties as assigned.
  • Enhance professional growth and development through participation in educational programs, current literature, and workshops. 

Qualifications: 

  • Excellent organization and time management skills and the ability to prioritize tasks. 
  • Professional internal skills, including patience, discretion, and confidentiality. 
  • Detail-oriented and demonstrated accuracy.
  • Strong verbal and written communication skills.  
  • Accuracy in record-keeping, data entry, and documentation. 
  • Ability to identify issues and find effective solutions.
  • Ability to interact professionally with clients and visitors.
  • Demonstrated reliability, dependability, and punctuality. 

Experience

  • Minimum 2-3 years of experience in a supportive role. 
  • Proficiency in office software such as Windows, and MS Office (Word, Excel, Access, PowerPoint).
  • HS Diploma Required, Bachelor’s Degree Preferred.

Economic Package Includes:

  • Salary $24/hr. - $29/hr.

San Diego Pay Range

$24$29 USD
