Job Description

Brightspeed has an exciting opportunity for an Office Coordinator to join our team! Reporting to the Manager, Real Estate, You will be an integral part of the team by ensuring that the Brightspeed office is running efficiently. You are self-motivated, supporting customers and employee’s by providing resources, supplies and guidance in our office space. You enjoy a fast-paced environment and creative problem solving. You are phenomenal at developing your own process that keeps you organized and on schedule, while ensuring customers and employees are cared for. You are ready to lend a hand to others and happy to do what it takes to support the team. This is an in-office role based the support and responsibilities defined for this position.

As Office Coordinator, your duties and responsibilities will include: 

  • Ensure overall efficient, effective operation of the corporate HQ offices
  • Manage reservation systems for conference space, office space, and any other space available to reserve
  • Direct traffic, understanding who is in the office on any given day and where they are
  • Serve as receptionist to greet, direct and orient employees and guests who are in the office any given day
  • Ensure supplies are available (office, kitchen, etc.)
  • Ensure common space (conference rooms, break room, touch downs, etc.) are straightened up before/after meetings to maintain neat appearance
  • Coordinate with property manager on relevant needs/issues
  •  Help troubleshoot AV issues as needed
  • Ordering catering for events as needed
  • Oversee meeting/events coordinator
  • Occasionally greet and admit visitors to our building
  • Provide input to improve the overall operations and security of our HQ office

Qualifications

WHAT IT TAKES TO CATCH OUR EYE: 

  • Bachelor’s degree or equivalent related work experience.
  • 5+ years of experience in office support.
  • Experience with virtual meeting platforms (Zoom, Teams, WebEx, etc.).
  • Self-motivated and can work independently.
  • Proven ability to manage time and prioritize multiple projects in a fast-paced environment.
  • Professional executive presence and confidence to collaborate with colleagues at all levels of the business and cross functionally.
  • Strong proficiency with MS Office applications including Word, Excel and PowerPoint, Outlook, etc.
  • Excellent teamwork and interpersonal skills
  • Excellent writing, editing, and proofreading
  • Excellent organizational skills and attention to detail 

BONUS POINTS FOR: 

  • Telecommunications industry experience 
  • 7+ years of experience supporting Executives
