Job Summary:
We are looking for an experienced professional to join our team as an Office Administrator / Receptionist. The successful candidate will be responsible for providing administrative support to various departments within our organization, ensuring smooth operations of our office, and enhancing the overall work environment. This role requires strong organizational skills, attention to detail, and excellent communication abilities. The role is full-time, on-site work at Swift’s New York Office. Job Responsibilities:
- Perform visitor services for internal and external guests, including issuing access badges, preparing meeting rooms, planning transport services, ordering catering, etc.
- Host external client events and organize internal team events such as birthday celebrations, holiday parties, etc.
- Manage front-desk switchboard call routing and receptionist duties.
- Coordinate with building staff to handle adhoc day-to-day activities including processing inbound and outbound mail and deliveries, managing vendor/facilities staff visits, etc.
- Maintain a clean and organized office space (conference rooms, kitchen, public areas), including ordering of office supplies, stock break room with food and beverages, and manage inventory.
- Assist with calendar management for senior staff, coordinate travel arrangements, including booking flights, hotels, rental cars, etc.
Qualifications:
- 3+ years’ experience minimum as an office administrator / receptionist
- College Bachelor’s Degree
- Excellent verbal and written communication skills
- Ability to work independently
- Strong multitasking and prioritization skills
- Demonstrated problem solving ability
- Proficiency in Microsoft Word, Excel, Outlook, Microsoft Teams, and SharePoint
- Willingness to submit to a background check and drug screen
- Ability to lift up to 50 lbs
The estimated salary range for a new hire into this position in New York is 56,280.00 Annual MINIMUM to 104,520.00 USD MAXIMUM. Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. Our compensation packages include a competitive base salary and bonus opportunity for all employee’s contingent on personal and company performance.
