Exus is seeking an Office Administrator that will be responsible for ensuring the smooth and efficient operation of our office, providing crucial support to our team, and contributing to a positive and professional company image. The Office Administrator will support the critical functions of general office administration, new hire onboarding, technology & meeting logistics, and other day-to-day office requests.
Please note: this is an fully onsite role with 5 days in office in our downtown Pittsburgh office.
Key Responsibilities:

Office Management & Administration

  1. Manage day-to-day office operations, including maintaining & ordering office supplies, managing mail and deliveries, and ensuring a clean and organized workspace.
  2. Handling incoming calls and emails, providing professional and courteous responses.
  3. Manage monthly snack and beverage orders while ensuring kitchen is maintained well stocked.
  4. Oversee building access and visitor management, including parking.
  5. Coordinate office maintenance and repairs.
  6. Maintain office records, files, and ExusUSA Calendar as needed.
  7. Assist with travel arrangements and expense reports.
  8. Coordinate office events and departmental lunches as requested.
  9. Maintain office environment including reception area, conference rooms, secure areas, & office supply closet.

New Hire Onboarding Support

  1. Assist with the onboarding process for new hires, including preparing and scheduling orientation, completing I-9 verification, & any other affiliated onboarding tasks assigned.
  2. Ensure new hires have access to necessary resources and information.
  3. Act as a point of contact for new hires during their onboarding period, answering questions and providing support.

Technology & Meeting Logistics

  1. Manage meeting room bookings and ensure all necessary equipment is set-up and functioning properly, escalating to IT when necessary.
  2.  Coordinate and manage logistics for internal and external meetings, including scheduling & catering as needed.

General Support

  1.  Provide administrative support to HR & the management team as needed.
  2.  Assists Executive Administrator to the CEO as requested by CEO or Sr. HR Manager.

Secondary Duties

  1. Completes special projects as required and as assigned.
  2. Performs other duties as required and assigned.
  3. Assist with event planning and coordination as requested and assigned.
  4. Assist with the distribution and presentation of marketing materials, including print orders and digital uploads as requested and assigned.


Qualifications:

  1. High school diploma, or equivalent required. Bachelor’s Degree preferred.
  2. 5+ years’ experience in an administrative professional office setting. Past professional services organization experience highly preferred.
  3. Proficient in Microsoft Office Suite and virtual meeting applications.
  4. Strong security mindset with the ability to maintain confidentiality and exercise discretion.
  5. Past experience providing administrative support to executive teams and/or organizations with a Board of Directors preferred.
