  • Part Time Role - 3 days a week

BROAD PURPOSE OF THE POSITION

This is an integral role ensuring the smooth daily operations of the office as well as providing administrative support across the organization. This is a highly visible role within the organization and would suit someone who is keen to take ownership of the office operations as well as a desire to be a culture setter, coordinating internal and external events, building connection and belonging in the office environment.

SCOPE

The Office Coordinator collaborates with all departments to ensure the day to day running of the office. Provides business administrative duties to ensure office processes run smoothly. Manages employee documentation, daily activities, and employee-related functions. 

REPORTING RELATIONSHIP: This position reports to the WSR General Manager.

KEY RESPONSIBILITIES/DUTIES: 

Provide Human Resource Management Advice and Services, including (but not limited to):

  • Align with Group’s Talent acquisition team to welcome and provide staff induction within the local office to new joiners to achieve successful integration into the business and team
  • Act as liaison and provide support to Group Headquarters and HR team by providing updates on and channeling business and employees queries and issues accordingly and provide support in the processes (i.e. onboarding, offboarding etc)
  • Ensure to collect all the employee documentation and forms as and when required
  • Identify training and development opportunities
  • Coordinates training requirements, including organizing rooms for employee training, printing training certificates and filing them accordingly, reviewing training policies, and updating training systems
  • Implementation of best practice for Work Health Safety procedures
  • Create a system to administer and monitor compliance requirements for national offices, such as test and tag services, asbestos registers, evacuation plans etc.
  • Provide administrative tools and training for the team to conduct work in a safe manner; to conduct risk assessments, report hazards or incidents, identify risks and implement control measures.
  • Liaising with the HQ,  Managers and employees on return to work plans as required
  • Supporting the HQ with the Claims Management Agent, and any rehabilitation consultants appointed for Return to Work Processes
  • Promote workplace safety and supporting knowledge.

  • Prior Knowledge or experience of the Health & Safety regulation

  • Clearly demonstrated problem-solving skills.
  • A passion for technology and an ability to understand the unique needs and challenges of WSR.
  • Prior exposure within a professional (ideally IT focussed) environment.
