Join Our Team as Office Administrator!
Are you an experienced and highly organized professional with a strong background in administration and office management? We’re looking for a proactive Office Administrator to oversee office operations, ensuring efficiency while collaborating closely with employees, external contractors and senior directors.
This role requires strong administrative expertise, excellent organizational skills, fluency in Polish and English and the ability to work independently. A Bachelor’s degree in Administration is essential. If you thrive in a dynamic environment and are ready to make an impact, we’d love to hear from you!
Core Responsibilities – What You’ll Be Doing
- Office Operations & Maintenance – Oversee office infrastructure, equipment, and utilities, ensuring smooth operations by coordinating with landlords, external service providers, and internal teams
- Compliance & Contracts – Ensure all site contracts are up to date and collaborate with contractors, as well as teams across Commercial, Finance, IT and HR, to guarantee compliance with local regulations and LGC policies
- Reporting & Documentation – Prepare and coordinate site reports required by local authorities and the LGC Group. Manage company documents (e.g., tax, social security) and ensure the timely approval of annual reports
- Logistics & Resource Management – Manage company cars and leases, oversee access control for site personnel, and handle office supplies, equipment and resources to ensure an efficient workplace
- Communication & Coordination – Organize internal and external correspondence, distribute documents and emails, arrange meetings and provide guest services, including hotel and transport bookings
- HR & Administrative Support – Assist with employee benefits such as healthcare and sport cards, coordinate training sessions, and manage translation requests for official documents
Qualifications
Preferred Qualifications and Skills
- In-depth knowledge of site administration and management processes
- Bachelor’s degree in Administration with fluency in Polish and English
- Proven expertise in office administration and operational processes
- Strong organizational and time management skills, with the ability to handle complex projects
- Excellent communication and relationship management with internal and external stakeholders
- Keen attention to detail and ability to collaborate across various management levels and teams
