The Role

We are seeking a highly skilled and organized Office Administration professional to join our team. The successful candidate will be responsible for providing comprehensive support to the company by managing various office-related functions and activities.

Key responsibilities will include scheduling and managing calendars, coordinating team travel arrangements, arranging meetings, and ensuring seamless communication with the York HQ office. Additionally, this role will entail tailoring presentation materials, editing and writing correspondence, and providing travel-related support to the Vice President, including trip preparation, expense reports, and calendaring.

RESPONSIBILITIES
The essential functions include, but are not limited to the following:

  • Manage overall administrative activities for the Maryland office
  • Responsible for the day-to-day facilities operations, including supervising the maintenance and alteration of office areas and equipment such as the layout, arrangement, and housekeeping of office facilities; purchasing office supplies, office equipment, etc. for the entire staff
  • Manage office supply inventory including snacks
  • Maintain confidentiality of sensitive and confidential information
  • Event management: plan Laurel office events including holiday party and other fun events
  • Prepare for and host visitors, including external and internal VIPs and customers
  • Project work on an as requested basis

 

QUALIFICATIONS

  • 4+ year previous experience as an office administrative work
  • Strong computer and internet skills including all MS Office Suite (Word, Excel, Outlook, PowerPoint) required
  • Must be a self-starter with excellent interpersonal and communication skills with a talent for customer service
  • Must be efficient with strong attention to detail
  • Must have strong customer support orientation (for internal/external customers), demonstrated professional demeanor, and the ability to maintain confidential information
  • Must have strong skills in organization and planning, demonstrated ability to work independently, and exercise sound judgment and problem solving
  • Must have proven ability to manage projects and prioritize tasks
  • Must have excellent presentation skills
