How You'll Create Possibilities
KEY RESPONSIBILITIES

Lead the end-to-end planning and execution of small to mid-size events, while partnering with the Senior Manager, Meetings & Events on large-scale programs to ensure successful delivery within timeline and budget parameters.

Develop comprehensive event documentation including project timelines, budgets, production schedules, event briefs/resumes, and post-event evaluations.

Create and manage event budgets, providing detailed financial tracking, forecasts, and reporting while proactively identifying cost-saving opportunities and potential budget risks.

Oversee attendee management including housing and registration; manage the development of all related event communications and collateral in collaboration with key stakeholders.

Source, negotiate, and manage vendor partnerships—including venues, production teams, transportation providers, and hospitality partners—ensuring service levels align with company standards.

Lead venue sourcing and selection processes; assist with contract negotiation and execution in collaboration with legal and procurement teams.

Coordinate Churchill Downs suite ticket allocation and manage related sponsorship activations and engagements.
What You'll Bring to Our Team
REQUIREMENTS & QUALIFICATIONS

Bachelor’s degree in Communications, Marketing, Business Administration, or a related field.

Minimum 3 years of experience in event planning, project management, or a related discipline.

Proven ability to manage multiple projects simultaneously in a high-paced, deadline-driven environment.

Strong project management and problem-solving skills, with the ability to lead or support programs based on business needs.

Team-oriented with a proactive, solution-driven mindset and strong interpersonal skills.

Proficiency in event technology platforms such as Cvent, virtual event tools, and mobile meeting apps; tech-savvy with an interest in staying on top of event industry innovations.

Willingness and flexibility to travel up to 30% of the time, including occasional weekends or evenings as needed.
