Job Summary
Optimum Corporate Services is comprised of Corporate and Executive Travel, Meetings and Events, Company Tickets and Food Services. The Corporate Services Manager provides administrative management and operational support for these departmental programs designed to support the companywide workforce with a focus on Company Tickets and various Workplace Services including Food Services and Premiums. This critical role requires a versatile player who can deliver quality, cost-efficient internally-focused services and work cross functionally in a fast-paced environment managing diverse programs and activities. This position will report to the VP, Events and Corporate Services.
Responsibilities

  • Provide administrative management and operational support for programs under Corporate Services oversight targeting company ticket governance and workplace services as well as support of corporate travel, as needed, and events, as assigned.
  • Manage operational activities including daily administration of VIP tickets and suites contracted with various venues to participating business units for client entertaining. Ensures efficient and effective service delivery.
  • Maintain business unit allocations, detailed reporting database, obtain quarterly attestations and prepare respective daily/weekly/quarterly and annual reports, as assigned.
  • Negotiate and manage venue contracts, advise and manage financials, including budget tracking, projections and invoice allocation with respective business planners.
  • Manage suite operations including developing the food and beverage menus and suite interior including physical appearance (logos, decor, etc)
  • Maintain and ensure internal compliance to the company's policies, procedures and preferred suppliers.
  • Monitor, suggest and implement initiatives and projects to establish, maintain or improve the quality and efficiency of current services. Develop and evaluate feasibility of new services or enhancements to existing services.
  • Liase with vendors, service providers and internal clients to ensure all issues are monitored and resolved in a timely manner. Able to respond to inquiries outside of business hours to provide direction to handle questions/ issues.
  • Support the management and submission of the departmental budget. Work with internal departments and external vendors to ensure the timely and accurate settlement of vendor payments and reconciliations.
  • Manage special requests as they arise (ie: additional ticket or suite requests, premiums, recognition)
  • Maintain Corporate Services information posted on the internal company website and monitor shared mailboxes.


Qualifications

  • Bachelor's degree or equivalent.
  • Project Management, Hospitality, Event Operations or related experience preferred.
  • Advanced knowledge of Microsoft Office with a focus on Excel and Power Point.
  • Strong organizational and analytical skills. Ability to manage process and identify improvements.
  • Ability to manage multiple work streams and maintain attention to detail.
  • Strong communication and interpersonal skills to liaise with vendors, internal business stakeholders and senior leadership.
  • Project management, reporting and problem-solving acumen.
  • Ability to work independently as well as collaborative within the department and cross-functionally across the organization.
  • Salaried position requiring fluid hours in alignment with position needs and department assistance. No overtime provided.
  • Ability to work nights and weekends as needed.

Pay is competitive and based on a number of job-related factors, including skills and experience. The starting pay rate/range at time of hire for this position in the posted location is $102,816.00 - $106,000.00 / year. The rate/range provided herein is the anticipated pay at the time of hire, and does not reflect future job opportunity.
