Job Description

Job Summary

Responsible for investigating and resolving complex lien-related issues within vehicle loan files. This role involves identifying, analyzing, and addressing discrepancies or disputes related to liens, titles, and ownership of vehicles. This position will collaborate with internal teams, external vendors, and regulatory agencies to gather information, resolve issues, and ensure that liens are correctly perfected, released, or corrected in accordance with state and federal regulations. This role requires a strong understanding of lien laws, title processing, and problem-solving abilities to resolve discrepancies in a timely manner.

Job Duties

  • Investigate and resolve complex lien-related issues, including title discrepancies, ownership disputes, and missing or incorrect lienholder information.

  • Review and analyze loan files to identify any inconsistencies or issues related to lien perfection, ownership, and title processing.

  • Collaborate with internal departments such as loan servicing, legal, and compliance teams to gather relevant information and ensure lien issues are addressed appropriately.

  • Communicate with third-party vendors, including title companies, dealerships, and regulatory agencies (e.g., DMVs), to gather necessary documents, resolve discrepancies, and ensure proper lien filings.

  • Research state-specific lien laws and regulations to ensure that all lien-related activities comply with applicable legal requirements and industry standards.

  • Investigate and assist in resolving issues related to lien releases, including verifying payoffs, documenting loan satisfaction, and ensuring accurate title transfers.

  • Coordinate the collection and verification of documentation needed for lien perfection, amendments, or releases, ensuring the integrity and accuracy of lien records.

  • Track and report on the status of lien investigations, providing regular updates to management on case progress, issues encountered, and outcomes.

  • Maintain organized and detailed records of investigations, communications, and resolutions related to lien issues to support audits, compliance reviews, and internal reporting.

  • Assist in implementing process improvements within the lien investigation process to enhance efficiency, accuracy, and compliance.

  • Collaborate with external legal counsel or other experts to address complex legal concerns related to liens, vehicle ownership, or title processing.

  • Provide recommendations for process changes or risk mitigation strategies to improve lien investigations and minimize the occurrence of title discrepancies.

  • Ensure timely resolution of lien issues to minimize the risk of financial loss and legal exposure to the company.

  • Stay up to date on changes to lien laws, regulations, and best practices in order to ensure compliance and maintain knowledge of industry trends.

  • Provide support for audits, compliance checks, and other assessments related to lien investigations to ensure proper documentation and resolution of issues.

  • Other duties as assigned.

Education and Work Experience

  • Education: High school diploma or equivalent, degree preferred

  • Work Experience: 5+ years in auto finance operations (5+ specialty groups required for specialty teams)

  • Previous experience in lien investigations, title management, vehicle financing, or a related field, with a strong understanding of lien laws and title processing.

  • In-depth knowledge of state-specific lien and title regulations, with the ability to research and interpret legal requirements related to lien perfection, releases, and disputes.

  • Strong problem-solving skills, with the ability to analyze complex issues, identify root causes, and develop solutions to resolve discrepancies.

  • Excellent communication skills, both written and verbal, with the ability to interact with internal teams, external vendors, and regulatory agencies to resolve issues effectively.

  • Strong organizational skills, with the ability to manage multiple investigations and tasks while maintaining a high level of accuracy and attention to detail.

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and title management or lien investigation software.

  • Ability to handle sensitive customer and loan information with confidentiality and adhere to data security protocols.

  • Ability to manage time effectively, prioritize tasks, and meet deadlines in a fast-paced environment.

  • Ability to work independently and as part of a team, taking initiative and collaborating with others to resolve lien-related issues.

  • Experience with legal documents and title-related forms, including lien releases, title amendments, and lienholder agreements.

  • Knowledge of risk management strategies and compliance standards related to lien investigations and title management.

  • Strong attention to detail, with a focus on accuracy in reviewing and processing lien-related documents and records.
