POSITION PURPOSE
The Leadership Services Specialist provides consistent, professional experience to Member Champions serving on the councils and executive committees of network communities. The Specialist will schedule virtual meetings and prepare documentation to support the meeting logistics, including delivery of information, content, and follow-up.
PRIMARY RESPONSIBILITIES

Compile, prepare, and distribute agendas, pre-reading materials and meeting summaries.

Schedule, host, and document key actions and decisions for monthly virtual executive committee/council meetings via Zoom.

Maintain consistent, accurate and updated executive committee/council documents, including directories, calendars, email groups in Outlook and WhatsApp, reference materials, and templates.

Maintain and manage executive committee communication channels including Board portal, Connect, WhatsApp, and Signal groups.

Serves as the general point of contact for champion inquiries from members and management team.

Execute council/committee activities on-site at in-person bi-annual leadership meetings, including formal meetings, dinners, and additional experiences.

Administers timely communication of announcements, discussions, and materials to member champions.

Support elections and nominating committees for Board committees, Councils, and Network executive committees.

Manage the Board portal for councils/committees ensuring implementation of new features and training needs are met for members.

Review and update Connect content, ensuring accurate committee and member information.

Draft content for agenda items that comply with the annual cadence of meetings, identifying decision items driven by policies.

Foster compliance and alignment to YPO’s Policies & Procedures, Code of Conduct, Core Principles, overall values, and applicable by-laws.

Recommend, develop, and socialize governance protocols for other management portfolios. Identifies trends, collaborations, and other opportunities related to governance.

EXPERIENCE/BACKGROUND
-
Minimum 3 years’ experience in professional services and/or event planning environments with multiple senior-level stakeholder groups globally.

Customer service experience in high-touch environment where responsible for identifying and implementing alternative solutions and resolving issues in a timely manner.

Membership or association experience preferred, with an understanding of governance structures, committees and consensus management.

Excellent administrative skills. Prefer corporate executive level of administrative experience.

Experience working in a virtual work environment preferred.
EDUCATION/TRAINING/CERTIFICATION
-
Relevant bachelors university degree or equivalent experience required.

Proficient in Microsoft Office Suite and database management systems, preferably CRM.

Preferred certifications: Project Management Professional (PMP) and/or Certified Meeting Professional (CMP).

Proficient with virtual conference platforms such as Zoom.
-
Must be fluent in English, written and verbal. Partial fluency or knowledge in other languages preferred.
PHYSICAL REQUIREMENTS

Ability to work flexible and/or extended hours as needed to accommodate members and team members in multiple time zones.

Ability to work for extended hours at a computer screen.
-
Willingness and ability to travel, domestically and internationally, without restrictions, approximately 5-7 times per year.
