Position Overview:
Reporting to the Senior Paralegal & Legal Operations Manager (Senior Paralegal), the Junior Paralegal will be responsible for accurate filing of all company documentation including contracts and providing administrative support to the Legal function, which is currently comprised of the Chief Legal & Compliance Officer (CLCO) and the Senior Paralegal & Legal Operations Manager (Senior Paralegal). This role requires the ability to thrive under pressure, work efficiently within tight deadlines, and adeptly manage a consistently high-volume workload. The Junior Paralegal will assist in maintaining the daily functions of the Legal team, enabling the attorneys and other legal professionals to focus on their core responsibilities.
Responsibilities:
- Schedule meetings and events for Legal team members, resolve schedule conflicts for the CLCO, prepare team meeting agendas and notes, journal follow-up actions for all attendees.
- Provide general administrative support to the Legal function, including preparing documents and proofreading.
- Update and maintain the Legal SharePoint site, including template forms and documentation; create and maintain folders and files in accordance with prescribed naming conventions; and organize and maintain electronic files.
- Create and maintain databases of external counsel, legal training materials, and guidance documents.
- Respond to and triage legal inquiries.
- Assist attorneys and Senior Paralegal with compliance activities.
- Create, edit, and format documents such as letters, reports, presentations, and spreadsheets using Microsoft Word, Excel, and PowerPoint.
- Obtain signatures via DocuSign or other methods.
- Accurately enter information into spreadsheets and databases.
- Conduct online research to gather information for projects or presentations.
- Assist with legal projects from initiation to completion, ensuring deadlines are met by following up on outstanding tasks involving the Legal team.
- Update and maintain internal and client-specific templates for all legal documents and contracts as required.
- Manage workload to meet deadlines.
- Perform all other duties as assigned and required.
Education:
- Associate degree in paralegal studies or equivalent paralegal training/experience.
Experience:
- Legal work experience, either gained in-house or in a law firm.
- Demonstrated efficiency through meticulous organizational skills, managing multiple projects effectively.
- Internships considered an asset.
Skills:
- Handle sensitive information with discretion.
- Proficient in Microsoft Office Suite and e-signature software.
- Excellent organizational and time management skills.
- Strong sense of urgency and ability to meet deadlines.
