THE ROLE & YOUR MISSION

The Junior Operations Specialist role is a dynamic and multifaceted position that involves various technical, quality and reporting, stakeholder management and project management responsibilities. In this role, your mission will be to support the implementation and service of our Darwin platform, ensuring smooth processes, compliance with requirements, and efficient delivery of tasks and activities

Technical

  • Utilize specific design methodology to capture carrier/provider product requirements and support streamlined implementation and service of Darwin.
  • Translate Benefit Carrier/Provider requirements into Darwin technical specifications, including standard report formats.
  • Manage and cultivate relationships with Global Benefit Carriers/Providers, ensuring compliance with processes, legislative changes, security, and legal requirements.
  • Follow the naming convention for all MS&A documentation.

Quality and reporting

  • Enhance and create new configuration standards to improve team efficiency.
  • Support and develop best practices for third-party providers and products on Darwin.
  • Maintain an updated status for current tasks using available tools (JIRA/Confluence).
  • Respond to ad hoc exercises and issues.
  • Meet SLAs and handle workload peaks without compromising standards.
  • Successfully deliver tasks and activities as prescribed by functional peers.

Stakeholder management and Project Management

  • Plan, organize, and direct the completion of multiple tasks, ensuring on-time delivery and within scope.
  • Represent carrier products and Darwin integrations to client teams and clients as necessary.
  • Initiate and manage relationships with Global Benefit Carriers, ensuring smooth processes, documentation, and troubleshooting.
  • Collaborate with internal and external partners to drive efficiency, satisfaction, and profitability.

Development: self and others:

  • Attend all mandatory trainings.
  • Proactively seek growth opportunities through L&D programs and understanding the business and each team's role.
  • Assist in onboarding and training new team members.

YOUR EXPERIENCE & VALUES

Technical

  • Basic SaaS Knowledge - fundamental understanding of what SaaS is and how it differs from traditional software.
  • Basic Data Analysis Skills - familiarity with spreadsheet software (such as Excel) and the ability to perform basic data manipulations like sorting, filtering, and creating charts.
  • Documentation and Diagramming Tools - proficiency in using tools like Microsoft Word, Excel, and PowerPoint for documentation purposes is essential. Additionally, familiarity with diagramming tools like Microsoft Visio can be a plus.
  • Attention to Detail - have a keen eye for detail, especially when it comes to documenting requirements and user stories.
  • Experience of SaaS, HCM or payroll industry is a plus.

Communication

  • Comfortable using communication and collaboration tools such as email, instant messaging platforms (like Microsoft Teams), and project management tools (such as Jira).
  • Demonstrate excellent written and verbal communication skills in English, ensuring clear and concise interactions with stakeholders.
  • High interpersonal skills experience level to build and maintain positive relationships with users, fostering a collaborative and cooperative work environment.
  • Knowledge of flexible benefits terms, payroll, taxes is a plus.

Project management

  • Basic Understanding of Software Development Lifecycle (SDLC) - basic understanding of the software development lifecycle, including concepts like requirements gathering, design, development, testing, and deployment. Knowledge of Agile methodologies, even at a basic level, is a plus.
  • Demonstrate and maintain high-quality standards, ensuring accuracy and precision in every aspect of the role.
  • Exhibit flexibility and creativity in work methods, employing innovative approaches to tackle challenges in diverse and demanding situations.
  • Manage effective delivery by adapting strategies and problem-solving techniques to meet evolving project requirements.
  • Ability to engage proficiently with technical subjects, capturing complex requirements, translating them for diverse user groups, and maintaining comprehensive documentation to support collaborative efforts.
