The role:
We are seeking a detail-oriented IT Procurement Coordinator to help manage our organization’s IT infrastructure and support our operational needs. This role will cover procurement, office/facilities administration, onboarding and offboarding of staff, and more. The ideal candidate will have strong organisation skills and a proactive approach to problem-solving and taking initiative. This would be a hybrid role, requiring a balance of onsite presence (Cape Town locations) and occasional remote work depending on business needs.
Job responsibilities
- Procurement
- Obtaining quotes from suppliers and placing orders once approved. Managing the capture of purchase orders (PO’s) for IT equipment, furniture and supplies. Tracking equipment delivery and capturing goods received in PO system.
- Liaise with the finance department to ensure all purchase orders align with invoices in SA and UK Finance systems. Assist with oversight and ensure IT spend is in line with budgets across the group. Ensure POs are approved by internal teams before supplier due dates to avoid late payment. This may require sending reminders. Liaising with UK Finance and local bookkeepers to obtain missing invoices or IT teams to obtain approvals. Working with providers to reconcile account statement differences, occasionally requiring provider to raise credit notes.
- Onboarding and Offboarding
- Coordinate with IT Service Desk and HR team for the onboarding of new joiners for hybrid and remote staff, ensuring smooth integration into the organization.
- Ordering of the necessary IT equipment from various suppliers, managing couriers and access for new hires. Following offboarding procedures for departing employees, including arranging courier for the return of equipment where required.
- End-user Ticket Capturing
- Capturing internal end-user requests and incidents into the company Service Desk ticketing platform. Requests/incidents may come from calls, emails or internal chat. Ensuring tickets are correctly assigned and reflect the appropriate priority/severity level. Helping to coordinate escalations.
- Ad hoc Administration
- Booking of meeting rooms and co-working space and coordinate the scheduling of corporate travel and events for Infrastructure and development teams.
- Documentation/Reporting
- Help create policy and procedure documents, ensuring adherence to established guidelines. Assist in maintaining relevant documentation of IT systems, processes, and procedures. Regularly capturing IT/cyber management information (MI)/metrics into reports and circulating to stakeholders.
- Inventory Management
- Maintain an asset register, tracking IT assets and ensuring compliance with group asset policies. To manage hardware support logistics such as maintaining adequate equipment spares in storage to liaising with suppliers to service/return faulty equipment (such as laptops). Manage the disposal of outdated or unneeded equipment in accordance with company policy.
- Project Administration
- Assist in planning and coordinating IT projects (such as migrations), booking staff travel, external consultants, helping with communications, keeping stakeholders updated and tracking of project issues.
Requirements
- Relevant project management experience would be highly desirable.
- Proven experience assisting IT teams with an emphasis on procurement and facilities management.
- Good working knowledge of M365 suite.
- Excellent organizational skills and attention to detail, particularly in managing purchase orders, licenses, and asset tracking.
- Strong problem-solving and troubleshooting skills.
- Excellent communication and interpersonal skills and the ability to work collaboratively across departments.
- A proactive and self-motivated individual who can work independently and prioritize tasks in a fast-paced environment, across multiple locations.
- Positivity, excitement, and the capacity to adapt to whatever the needs of the business are at whatever level of the organisation.
- You need to learn quickly and be able to work independently and as part of a team.
