About the Position

An HR Onboarding Specialist, you will collaborate closely with various departments to coordinate onboarding, monitoring human resource functions and offboarding. Your exceptional communication skills will be vital in effectively communicating our company's culture, policies and procedures.

Primary Responsibilities

  • The HR onboarding specialist is responsible for ensuring timely execution and completion of a seamless workflow for each new employee.
  • Ensures compliance with all processes and maintains a high level of confidentiality at all times.
  • Manage and facilitate new hire orientation by preparing onboarding presentation, welcome emails, assisting with complete setup and necessary tickets for IT equipment.
  • Conduct pre-employment screenings including drug screens and background checks.
  • Ensure all necessary new hire paperwork is completed and processed as required by jurisdiction. This may include employment verification, payroll/tax forms, and benefits enrollment. 
  • Create and maintain up-to-date onboarding materials and resources.
  • Track and report on the effectiveness of our onboarding program, making suggestions for improvement as necessary.
  • Support employee relations that arise during the new hire training program. 
  • Maintain strong working relationships with multiple internal departments (HR, Operation, IT, Managers.) to successfully resolve any challenges during the new hire experience.
  • Manage recredentialing background/drug checks for client credentialing. 
  • Manage the offboarding process.
  • Assist in other areas in human resources as required.

Required Qualifications

  • Bachelor's degree in human resources, business administration or a related field.
  • 5+ years of experience to manage the onboarding process as a part of human resources.
  • Strong knowledge of onboarding best practices, HR policies and procedures, and employment laws.
  • Strong organizational skills and attention to detail to manage and streamline the onboarding process efficiently.
  • Excellent communication and interpersonal skills to build rapport with employees and key stakeholders.
  • Adaptability and flexibility to accommodate the diverse needs and backgrounds of new employees.
  • Ability to collaborate and work effectively with remote and in office team members.
  • Ability to lead projects, develop timelines, coordinate project teams and implement action items during the life of a project.
  • Ability to multi-task, work independently and as part of a team, establishing cooperative and collaborative working relationships.
  • Proficiency in using HRIS system, preferably Workday.
  • Proficiency in using Excel and PowerPoint. 
  • Ability to handle sensitive information with discretion.

Preferred Qualifications

  • Strong entrepreneurial spirit, highly collaborative, able to express ideas readily, manage change fluidly, able to influence and identify opportunities.
  • Proficiency in Workday.
