Job Description
The HR Shared Services (HRSS) Coordinator is based in Guadalajara, Mexico and will play a crucial role in supporting our global HR operations. This role will be responsible for handling a variety of HR-related administrative and transactional tasks, such as benefits and compensation administration, document preparation, and HR data processing. This role will act as a key point of contact between employees and HR, ensuring that HR services are delivered efficiently and effectively, addressing employee inquiries, data management, and HR service delivery while also contributing to the continuous improvement of HR processes.
Job Purpose
The HR Shared Services (HRSS) Coordinator is based in Guadalajara, Mexico and will play a crucial role in supporting our global HR operations. This role will be responsible for handling a variety of HR-related administrative and transactional tasks, such as benefits and compensation administration, document preparation, and HR data processing. This role will act as a key point of contact between employees and HR, ensuring that HR services are delivered efficiently and effectively, addressing employee inquiries, data management, and HR service delivery while also contributing to the continuous improvement of HR processes.
Key Responsibilities
- Serve as the primary point of contact for HR-related inquiries from employees across the organization, providing timely and accurate responses and escalating complex or unresolved issues to the appropriate HR teams.
- Maintain and update employee records in Workday, processing changes related to promotions, transfers, terminations, job and personal data changes and ensuring data accuracy and integrity.
- Assist in the administration of employee lifecycle processes, including onboarding, offboarding, and employee transfers, and other HR administrative tasks, such as benefits enrollments, invoice reconciliation, data entry & review, forms and document management, and file maintenance, ensuring accuracy and confidentiality of employee records.
- Assist with maintaining and updating the Workday Learning Management System (LMS), including enrolling employees in courses, tracking completion statuses, generating reports, and ensuring accurate data entry within the system.
- Support the organization's recruitment activities by reviewing candidate immigration details, initiating background checks, preparing and reviewing necessary documentation, verifying new hire data in Workday, and confirming referral bonuses to facilitate seamless recruitment operations.
- Contribute to the maintenance and updating of Knowledge Articles, providing feedback and suggestions for improving existing material based on employee interactions and survey replies.
Identify opportunities to streamline HR processes and enhance service delivery and participate in HR projects and initiatives aimed at improving operational efficiency and employee experience.
Qualifications
Education:
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
Experience:
- 2-3 years of experience in HR, preferably in an HR Operations or Shared Services environment, working with HRIS systems (preferably Workday), and service desk platforms (preferably ServiceNow).
- Functional knowledge of HR including employment, federal, state, and local laws.
Skills and Competencies:
- Strong Customer Service Focus, for both internal & external customers, with a focus on employee satisfaction and strong communication skills, both written and verbal.
- Capable of working effectively in international teams, operating effectively within a matrix organization and with multi-disciplinary groups, and being an excellent team player with strong interpersonal skills contributing to building team spirit.
- Proactive, self-motivated, enthusiastic, goal and results-oriented.
- Proficient in HR systems and tools, such as Workday, ServiceNow, and MS Office Suite.
- Excellent problem-solving skills and attention to detail.
- Ability to handle sensitive and confidential information with discretion.
Language Requirements:
- English
- Spanish
Additional Requirements:
- Flexibility to work across different time zones and with global teams.
- Familiarity with US, Canada, Mexico, China, and Poland labor laws and regulations is a plus.
Working Conditions
- This role is based in our Guadalajara, Mexico office.
- Occasional travel may be required to other regional offices.
- The HR Operations team operates in two shifts, between 06:00-14:00 and 14:00-22:00.
