About this Position

The HR Specialist 3 assists with the planning, coordination and execution of all company programs and events to support our employee engagement. This role assists with the administration of benefits, 401(k) and leave of absences. This role is also responsible for providing day-to-day administrative support to the HR department, such as phone support, mail distribution, scanning documents, preparing correspondence and invoices. This role ensures compliance with various requirements, including maintaining employee records, updating required employer postings and completing Department of Labor documents.
The salary range for this position is 50k - 53k

Responsibilities & Qualifications

Contributes and actively participates on engagement team

  • Collaborates to design new programs and develop existing events
  • Researches potential vendors, venues and other required items for executing events
  • Assists with all aspects setting-up and breaking down of events including work orders, reserving rooms, etc.
  • Creates engagement slides and forms for communications
  • Tracks and follows-up with participation of employees with programs and events; collects funds as needed
  • Manages and conducts a variety of programs and events during the calendar year
  • Seeks opportunities to expand employee volunteer efforts. 

Assists with administration of benefits, 401(k) and leave of absences

  • Responds to inquiries related to benefits, 401(k), and leave of absences
  • Processes and administers certain leave of absences, such as intermittent FMLA leaves and parental leaves
  • Conducts benefit new hire orientation
  • Assists with the open enrollment process, including system testing, communications, answering questions
  • Performs quality checks of benefits-related data
  • Completes payroll audit to verify accuracy of 401(k) contributions
  • Processes some of the benefits related monthly and quarterly invoices

Clerical duties and Administrative responsibilities

  • Coordinates the exit interview process with HRBPs and terminating employees
  • Processes employee terminations
  • Manages the retirement recognition program 
  • Orders supplies and completes work orders as needed
  • Maintains employee documents and data in appropriate system or platform
  • Answers, transfers and screens incoming phone calls
  • Services employees and other callers by answering requests and questions via phone or email
  • Sorts incoming mail
  • Makes photocopies, mails, scans and emails documents; and performs other clerical functions.
  • Prepares correspondence as requested 
  • Oversees safe and its contents 
  • Prepares payments of monthly and quarterly invoices and statements

Ensures compliance for specific HR functions

  • Organizes and maintains employee records, including I9s for terminated employees for adherence to legal requirements
  • Prepares and handles HR documents and forms, such as Department of Labor forms as necessary to terminated employees on the last day of employment
  • Updates employee bulletin boards regarding employer postings and regulations
  • Routes incoming documents including unemployment claims and subpoenas as timely responses are required
