Summary:
The Human Resources Representative III– Colombia & Chile will support the business objectives range of topics from employee relations, payroll, talent acquisition, benefits and development, performance management and strategic projects to contribute into the employee experience. This position reports directly to the LATAM HUMAN RESOURCES DIRECTOR. Together you will work with employees and management teams on HR-related issues and administering programs that promote a high performing and inspired workforce.
Responsibilities:
Human Resources Colombia & Chile
- Primary point of contact for management and employees regarding topics varying from but not limited to Payroll, Employee Relations, Performance management, career development and progression, etc.
- Leading monthly payroll submission is completed within deadlines. Including partnering with payroll provider. Knowledge and experience in payroll projects in Chile and Colombia.
- Act as a guide to our managers and employees on matters relating to our internal policies and procedures, and with reference to the Employment Standards Act.
- Work closely with management and employees to improve working relationships, strengthen morale and increase productivity and retention.
- Assist managers by providing an HR perspective on policy, process changes and initiatives.
- Support and partner with compensation team with job evaluation process to ensure accuracy and consistency.
- Partner with LATAM recruitment team on Chile and Colombia requisitions.
- Conduct new hire orientation.
- Manage short term and long-term disability cases, including employee deaths.
- Partner with local counsel on employee relations issues.
- Facilitate local learning and development programs.
- Coach and guide leadership in Colombia and Chile team to ensure they are leading with purpose and inspiring their teams.
- Facilitate performance management and annual discussions with management teams to identify top talent and low performing employees within the organization.
- Guide and coach management on any structural changes.
- Conduct effective, thorough and objective investigations when required.
- Ability to take insights and translate to organization and people agenda to influence business
- Proven ability to facilitate, persuade, influence and build credibility with all levels and functions
- Addressing employee inquiries regarding company policies, procedures, and HR programs. Administering various HR plans and procedures for all TOSHIBA personnel in Colombia and Chile.
- Lead the development and implementation of personnel policies and procedures.
- Partnering with hiring managers (Finance, Sales, Maintenance, Operations Colombia & Chile) to understand the preferred qualifications for job openings.
- Monitoring and controlling of processing new hires and status changes.
- Coordinating hiring managers to ensure effective on-boarding and integration of new hires.
- Maintaining personnel, payroll, and benefit files in accordance with labor law requirements.
- Coordinating employee training, employee awards, and other TOSHIBA programs in Colombia and Chile.
- Assisting with responses/claims from former employees.
- Conducting exit interviews.
Health & Safety System (Colombia and Chile)
- Leading annual audits on Health & Safety ensure compliance per law.
- Perform and Implement health and safety initiatives (policies, programs, procedures)
- Perform weekly facility inspections in conjunction with the Operations teams to ensure regulatory compliance and to identify potential hazards.
- Evaluate and prepare written report on workplace inspections in order to be in compliance with OHSA System Colombia.
- Evaluate the organization’s work practices in an effort to reduce or eliminate hazards
- Develop risk assessments on various machines, provide most feasible recommendation to Operations
- Lead incident investigations and provide support for all other incidents
- Follow-up on open action items, legislative requirements, and support the implementation of corrective actions
- Assist with development of safe operating procedures and best practices
- Facilitate employee onboarding
- Monitor training compliance
- Create and assist with implementation of Health & Safety tracking processes
- Provide HR Manager with H&S updates, documentation on a daily, weekly and monthly or Semester basis – status of the items is provided
- Monitors and assesses the quality of incident information and conformance to objectives and standards
- Completion of Health & Safety System objectives in compliance with targeted deadlines
- Support monitor Health & Safety System objectives for the Maintenance teams.
- Assess, support and create a positive health, safety culture throughout all business units
- Facilitate and support hazard identification and analysis of hazardous work activities and corrective action planning and implementation
- Lead and provide support to Joint Health & Safety Committees by monitoring committee activities, status of committee issues to identify and respond to information and learning needs.
- Research health and safety best practice, new legislation and trends and maintain an up-to-date knowledge of health and safety and approved codes of practice so that the services provided are continually improved.
- Ensure facilities maintain their audit annual, complete corrective actions, gather documentation.
- Develop and review the need for updating of H&S related procedures, practices with the support of Business Unit Leaders and HR Manager
- Ensures all H&S related incidents and their respective corrective actions are tracked, monitored and completed in a timely fashion
- Ensure the on-going compliance of safety as per Health & Safety Act and decree 1072/2015 and best practices within the company.
- Coordinate and be present for any external health and safety audits (ex. Ministry of Labor Inspector).
Financial Area Colombia and Chile
- Ensure all accounts payable items are processed and input into Treasury
- Ensure timely payments to vendors
- Support the Finance department with performing AP month-end and quarter-end processes related to payroll
- Monthly Reconciliation payroll vs Social Security
- Initiate contact with the customer to secure payment of outstanding invoices
- Provide invoices and or documentation as required to aid in the escalation of payment
- Assist in the Year-End reporting
- Assist in internal and external audits
