Role Summary:

This position is responsible in managing, directing, and overseeing the end-to-end Payroll operations. In additional to the BAU payroll operations, this position is also responsible in making sure all payroll related projects are delivered and executed in a timely manner. The Payroll Manager is also accountable in ensuring the integrity of internal controls through the execution of an accurate and timely payroll. The Payroll Manager is expected to equip the direct reports and other team members with skills and knowledge required in the job, monitoring and managing team’s performance.

Job Description:

Operations Management

  • Lead a team who is responsible in the day-to-day operations as well as the payroll processing of 2,000 plus employees.

  • Responsible in processing off-cycle payment as well as the periodic bonus.

  • Manage the completion of the periodic payroll and other Adhoc reports as well as the preparation of the year-end compliance requirement with the tax and statutory agencies.

  • Ensure compliance with all regulatory reporting requirements, guidelines, and adherence with all internal policies and internal controls.

  • Maintain knowledge of existing & new legislations which affects the payroll calculations and enforcing adherence to the requirements and advising management on the needed actions

  • Oversee daily processing activities, including allocating and monitoring workflow to ensure the resources are fully maximized.

  • Review and analyzes payroll process in order to recommend and implement changes leading to best-practice operations

  • Drive innovative solutions related to process, operations, and policy to leverage payroll services more fully.

  • Assess and provides resolutions to escalated payroll issues and incidents

  • Ensure global alignment in processes and measures through collaboration with other regions.

  • Provide orientation and on-going training for staff to ensure policies and procedures are followed.

Other Responsibilities

  • Assist in the definition of project scope and objectives, involving all relevant stakeholders and ensuring technical feasibility

  • Ensure resource availability and allocation

  • Support in the development of project plans to monitor and track progress

  • Develop project dashboards to report on status of initiatives. Report and escalate to management as needed

  • Manage the relationship with the client and all stakeholders

  • Establish and maintain relationships with third parties/vendors

Skills & Experience:

  • 5 to 6 years-experience in Payroll 2 years of which was spent in a management capacity. An added advantage if the candidate has relevant experience in foreign capital company.

  • Must be a graduate of a bachelor’s degree. Accounting and HR related courses are preferred.

  • Knowledgeable on Japan tax, statutory and labor regulations. Prior experience in handling regional payroll is also advantage.

  • Good communication/business level English. Have good presentation, and facilitation skills.

  • With excellent skills in using Microsoft applications (Advance Excel, Macro, PowerPoint, etc)

  • With working knowledge in using Workday and an automated SAP payroll system. Prior experience is using ADP GlobalView system is an advantage.

  • Fast learner, detail-oriented and can work collaboratively within and outside other HR functions

Internal Guidelines about Work from Home:

Hybrid Model, following Manulife’s Working Better guidelines.

Over time:

Approx. 0-40 hours/month.

Salary:

Based on our Work Rules, we will consider your experience, skills and knowledge when we decide the salary.

Commutation allowance and Variable Incentive Bonus are paid based on our Work Rules.

Working Hours:

Standard Working Hours: 9:00am - 5:00pm  (Include 1 hour break. Flex-time system available)
