Job Description
Purpose:
We are seeking a detail-oriented and organized HR Coordinator to join our Human Resources team. The HR Coordinator will be responsible for supporting various HR functions, including recruitment, onboarding, employee records management, and employee engagement initiatives. This role ensures smooth day-to-day HR operations and serves as a point of contact for employees and managers.
Key Accountabilities:
This role is responsible for, but not limited to, the following accountabilities. Accountabilities may change at any time, subject to business needs.
Talent Acquisition (50%):
- Support the end-to-end Talent Acquisition (TA) process ensuring compliance with company policies and legislative requirements
- Ensure the recruitment process is progressing efficiently focusing on providing a professional and positive candidate experience.
- Continually network and proactively source top talent to build a talent pipeline for future opportunities.
- Liaise with vendors to ensure the best possible service and value to the business is provided.
- Prepare reports related to HR metrics, such as turnover and recruitment timelines.
- Provide support to TA manager managing budget on recruitment cost
Onboarding (30%):
- Prepare and update onboarding materials as required
- Conduct day 1 onboarding sessions and ensure new hires are integrated effectively into the organization.Work closely with hiring manager to prepare the onboarding process.
- Work closely with relevant internal stakeholders (Internal communication, IT, GA etc.) to welcome new hire in timely manner
- Conduct onboarding check-in with both new joiner and hiring manager during probation period.
HR Operations Support (20%):
- Maintain and update employee records in the HRIS (Workday)
- Support the administration of labor contracts (temp and contractor) in accordance with labor law or regulations.
- Organize and coordinate employee training sessions and workshops.
- Manages the day-to-day operations and support to ensure that the resources and capability necessary to deliver the required level of service to Managers and Employees
- Provide day-to-day support to employees and improve employee relations/engagement
- Assist in organizing team-building activities, employee recognition programs, and other engagement initiatives.
- Gather and analyze employee feedback to support continuous improvement efforts.
Selection Criteria
- Bachelor's degree in human resources, Business Administration, or a related field.
- Native Japanese and Business Level English
- Strong MS Excel, PowerPoint and Word skills;
- Excellent communication and engagement skills
- Obsessive about delivering results and taking ownership
- Can work in a face paced environment
- Excellent organizational and time-management skills.
- Self-management skills
