The HR and Admin Assistant provides support to the HR and Admin departments by assisting with recruitment, employee records, payroll, office administration, and day-to-day operations. This role ensures smooth functioning of HR and administrative tasks while maintaining compliance with company policies and regulations.
Key Responsibilities:
Human Resources Support:
Recruitment and Onboarding:
- Coordinate new hire orientation and ensure a smooth onboarding process.
Employee Records Management:
- Maintain and update employee records (P-Files)
- Ensure all HR documents are filed accurately and confidentially.
Payroll and Benefits Support:
- Handle employee benefits administration (e.g., medical claims, insurance).
Employee Relations:
- Address basic employee queries and escalate complex issues to the HR Manager.
- Assist in organizing employee engagement activities and events.
Administrative Support:
Office Management:
- Manage office supplies and ensure timely replenishment.
- Coordinate maintenance of office equipment and facilities.
- Handle vendor management and procurement of office supplies.
Documentation and Filing:
- Maintain and organize company records, contracts, and invoices.
- Ensure proper filing and easy retrieval of documents.
Event and Meeting Coordination:
- Assist in organizing company events, meetings, and travel arrangements.
- Prepare meeting agendas, take minutes, and distribute them to relevant parties.
General Administrative Tasks:
- Handle incoming and outgoing correspondence (e.g., emails, letters).
- Provide administrative support to senior management as needed.
- Assist in maintaining a clean, safe, and organized office environment.
Qualifications:
- Diploma or degree in Human Resources, Business Administration, or related field.
- 1-2 years of experience in HR or administrative roles (fresh graduates are welcome to apply).
- Basic knowledge of labor laws and HR practices is a plus.
- Proficiency in MS Office (Word, Excel, PowerPoint) and HR software (e.g., Workday, HRMS).
- Strong organizational and time management skills.
