The HR and Admin Assistant provides support to the HR and Admin departments by assisting with recruitment, employee records, payroll, office administration, and day-to-day operations. This role ensures smooth functioning of HR and administrative tasks while maintaining compliance with company policies and regulations.

Key Responsibilities:
 

Human Resources Support:

Recruitment and Onboarding:

  • Coordinate new hire orientation and ensure a smooth onboarding process.
     

Employee Records Management:

  • Maintain and update employee records (P-Files)
  • Ensure all HR documents are filed accurately and confidentially.
     

Payroll and Benefits Support:

  • Handle employee benefits administration (e.g., medical claims, insurance).
     

Employee Relations:

  • Address basic employee queries and escalate complex issues to the HR Manager.
  • Assist in organizing employee engagement activities and events.

Administrative Support:

Office Management:

  • Manage office supplies and ensure timely replenishment.
  • Coordinate maintenance of office equipment and facilities.
  • Handle vendor management and procurement of office supplies.
     

Documentation and Filing:

  • Maintain and organize company records, contracts, and invoices.
  • Ensure proper filing and easy retrieval of documents.
     

Event and Meeting Coordination:

  • Assist in organizing company events, meetings, and travel arrangements.
  • Prepare meeting agendas, take minutes, and distribute them to relevant parties.
     

General Administrative Tasks:

  • Handle incoming and outgoing correspondence (e.g., emails, letters).
  • Provide administrative support to senior management as needed.
  • Assist in maintaining a clean, safe, and organized office environment.

Qualifications:

  • Diploma or degree in Human Resources, Business Administration, or related field.
  • 1-2 years of experience in HR or administrative roles (fresh graduates are welcome to apply).
  • Basic knowledge of labor laws and HR practices is a plus.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and HR software (e.g., Workday, HRMS).
  • Strong organizational and time management skills.
