Overview

To provide a comprehensive, effective and efficient administrative support to the HR Department supporting the Polish entity. To organize and prioritise commitments of the team, enabling them to work efficiently and effectively. To assist the team to implement and maintain relevant admin systems to support the HR function.

Responsibilities

  • Administration support to the team
  • Monthly preparation of payroll spreadsheet for Finance team.
  • Liaison with and main point of contact for the company’s insurers regarding medicover, lunch vouchers, healthcare, medisport and PPK
  • Act as a central point of reference for internal and external queries, ensuring that messages are recorded and reported in in a timely manner.
  • To manage administration of incoming mail into HR Department.
  • Assisting with referencing process for all employees.
  • Coordinating the administration of the new starter Induction.
  • Recording and monitoring of sickness.
  • Preparation of Terms and Conditions for new employees and notification of changes to Terms and Conditions of existing employees.
  • To produce all starter and leaver paperwork, updating all systems as necessary.
  • To maintain and input data onto the HR system and other relevant databases ensuring that the information is accurate and timely.
  • Creation and maintenance of Employee Personnel Records.
  • Administration and monitoring of employee benefits including eye care voucher scheme, childcare voucher scheme.
  • General H&S training – coordinating the H&S training for new starters and annual refresher courses
  • To undertake any other duties as may be reasonable delegated to the position and function of the post.
  • General support to the Global HR Team

Qualifications

  • Experience of working in a HR office
  • Good level of English
  • Ability to work under pressure and to strict deadlines
  • PL literate – Knowledge of Microsoft Office software packages, including outlook, word, excel.
  • Maintain confidentiality
  • Excellent attention to detail
  • Excellent organization and administrative skills
  • Ability to prioritise own workload and work to tight timescales

Optional Desired Experience:

  • Knowledge of Workday

Qualifications:

  • A general HR qualification relating to Polish legislation or equivalent of education or ability to demonstrate competency at this level
  • 2 years working in a HR Department

Optional Desired Qualifications:

  • Appropriate HR/Business administrative qualification
