The HR Administrative Specialist supports key HR processes such as onboarding, employee life cycle and offboarding assisted by a local HR&Payroll provider. You'll ensure compliance with Health & Safety and Emergency Situations regulations, Labour medicine, manage personal files and documents related to employee life cycle, manage company policies, and collaborate with the Payroll vendor to provide accurate salary and benefits data. The role involves coordinating with external vendors for HR services such Benefit, implementing local and corporate HR projects alongside the HR Manager.
- HR Admin background, specialist
- 2-3 corporate years of experience, preferably in a mid-size company
- Excellent knowledge of Romanian Labour Code, HR Inspector certificate is a plus
- Good knowledge of Microsoft Office
- Knowledge of Workday would be a great addition
- Experience of handling IT personnel documents, special tax facility for some eligible roles
- Well organized, not afraid of working independently
- Open mindset, communicative
- Problem solving skills
- Fluency in English - daily communication within company (verbal, written)
Duties and Responsibilities
- Personnel Files: Update files, handle HR documents, ensure record-keeping.
- HR Admin Support: Provide support, handle queries, maintain confidentiality.
- Compliance: Ensure legal compliance, stay updated on legislation.
- HR Reporting: Generate reports (attendance, leave, headcount).
- Work Medicine: Schedule appointments, maintain records, communicate updates.
- SSM/SU Compliance: Ensure safety/emergency compliance, assist with training.
- Policies: Administer policies, support employee inquiries.
- Attendance & Leave: Track leave, submit timesheets for payroll.
- Payroll: Provide accurate data, assist with payroll issues.
- FNUASS Support: Submit documents for sick leave recovery.
- Vendor Management: Manage HR vendors, negotiate contracts.
- Benefits: Register/deregister employees, handle escalated issues.
- Process Improvement: Identify and implement HR process enhancements.
