We are seeking a Guide Operations Coordinator that will be part of the Guide Department and is mainly responsible for Guide Housing and Travel. 

The Guide Operations Coordinator must possess a wide variety of skills including an understanding of the travel industry, the ability to provide exceptional hospitality and support to both coworkers and vendors, strong organizational and communication skills, and a self-motivated attitude. POSITION RESPONSIBILTIES INCLUDE, BUT ARE NOT LIMITED TO: 

  • Own the Guide Housing standards & process for the Guide Department. 
  • Create and maintain strong relationships with property owners globally. 
  • Own Guide Housing budget and negotiations. 
  • Facilitate Guide Off-site Hotel process, where applicable. 
  • Responsible for Guide Travel program, handling flights and transportation. 
  • Direct liaison to Concur Solutions & Adelman travel partners. 
  • Direct Responsible Individual (DRI) for monthly reporting of Housing & Travel goals and metrics. 
  • Assist in schedule creation and maintenance. 
  • Complete Guide Bookings 30 days out - input schedule data using Trek Travel’s booking system.
  • Create reports on demand. 
  • Event planning and guide training event coordination, including occasional travel. 
  • Daily team correspondence via phone and email and scheduled weekly or bi-weekly check-ins. 
  • Work alongside team members around the globe. 
  • Cross departmental work and additional duties as required.

  • Availability Monday-Friday - schedule may flex to include evening and weekend hours depending on time of year.

This position has the flexibility to be fully remote and reports to the Director of Guide Operations. Interest in the active travel industry is beneficial, but not necessary.
