Essential Functions:

Database Management:

  • Input graphics jobs into the graphics database for documentation and tracking.
  • Maintain and update various database information, such as customer accounts, packaging sizes/types, and Medley ring grid colors.
  • Use Salesforce to look up customer account numbers and account managers for adding correct contacts into the Graphics Request database.
  • Maintain customer contacts for billing purposes.
  • Maintain email distribution lists for each print facility.

Project Validation and Coordination:

  • Review graphics job information to validate and ensure project accuracy.
  • Create and send graphics quotes to customers, ensuring alignment with the received art file.
  • Assign design numbers for printed components.
  • Distribute design files to production teams.
  • Participate in project calls to share and receive information related to graphic jobs.

Billing and Reporting:

  • Maintain graphics customer billing terms and collaborate with sales to ensure accuracy.
  • Perform end-of-month billing using BPCS software to generate invoices for completed graphics work and create debit and credit notes as necessary.
  • Once invoices are processed, extract information from the centralized document management system to populate invoice and PO numbers into the Graphics Billing database.
  • Generate various end-of-month, annual, and customized reports from the graphics and billing databases.

Quality Assurance:

  • Proofread packaging files to ensure information matches the database listing, including proper printer mark information, UPC codes, part numbers, flavor names, and number of colors.

Other Duties:

  • Perform other duties as assigned.

Job Qualifications:

Requirements:

  • Associate or bachelor's degree in business or finance preferred.
  • Experience with printing, prepress, and/or packaging is a plus.
  • Ability to manage multiple priorities and meet multiple deadlines.
  • Excellent interpersonal and communication skills.
  • Ability to work effectively in a team environment.
  • Strong problem-solving skills.
  • Good organizational skills.
  • Strong mathematical skills.
  • Detail-oriented.

Environment:

  • Work within an office setting for most of the day with controlled climate conditions.
  • Hybrid schedule available.
