Rubrik is seeking an experienced People Services Manager to join the People Operations team. You will play a pivotal role within our world-class People organization as we continue to scale rapidly to support our hyper-growth business. This position is designed to help build and lead our shared services function, driving initiatives to shape a best-in-class, friction-free manager and employee experience. Your contributions will be critical in enabling efficiency across our HR organization and supporting our high-growth objectives. Additionally, you will oversee key administrative transitions, drive global process development, and lead project management efforts within our shared services team to optimize operations and ensure continuous enhancement. 

Leadership & Team Management: (60% of time)

  • Leadership and Mentorship: Directly manage the Palo Alto People Services team, including Global Immigration and Mobility and New Employee Onboarding Programs. Train and mentor team members responsible for case triaging, responding to employee inquiries, immigration, mobility, and other People Services responsibilities.
  • Career Development: Provide direction, counsel, and goal-setting for team members to foster career growth and development.
  • Cross-Training Program: Develop a cross-training program for the team; provide backup for team members during high volume workloads or absences.
  • Quality Assurance: Monitor the quality of service provided by the team, ensuring a consistently high level of service to all employees and stakeholders. Provide prompt coaching and feedback as necessary.
  • Strategic Planning: Partner with the Director of People Operations to develop a strategy to scale the team and increase the complexity of services offered over the next 2-3 years.
  • HR Operations Leadership: Collaborate with other HR Operations managers to plan resources, develop and implement team programs, establish and monitor policy consistency, etc.
  • Regional Collaboration: Work with regional People Ops and People Partner team members to ensure process consistency across different regions.
  • Process Improvement: Identify opportunities to enhance onboarding, offboarding, internal mobility, and immigration processes, creating and implementing programs to improve their effectiveness.
  • Process Documentation: Develop and maintain comprehensive documentation of team processes, procedures, and functions.
  • Intranet Maintenance: Ensure the team maintains the intranet "The Cube" with up-to-date process information.
  • Immigration Policy Development: Oversee the revision of current immigration policies and procedures, ensuring compliance with legal requirements and alignment with company values and goals.
  • Budget Management: Manage and oversee the immigration budget, including forecasting costs and monitoring expenditure actuals
  • Monthly Reporting: Monitor monthly immigration & mobility trends, providing key insights and metrics to senior leadership, and making data-driven recommendations for process improvements.
  • Liaison Responsibilities: Serve as the People Services process liaison to departments including Talent Acquisition, Talent Development, People Partners, Legal, Workday Data Management, etc.
  • M&A & Confidential Hires: provide operational support needed to seamlessly facilitate M&A and confidential hires
  • Support for Status Change Requests: Design and implement approaches to support various status change requests, such as location transfers and special accommodations.

Key Projects & Deliverables: (40% of time)

  • Immigration & Mobility Program Optimizations (FY26-1H): Oversee the optimization of current processes to support future growth. Enhance the end-to-end experience, create efficiencies and cost savings, launch a portal for managing cases and documents, and establish a self-service central knowledge base for employees to reference.
  • New Hire Onboarding Experience & Orientation (FY26 - 2H): This project will address the experience and content presented to new Rubrikans prior to their first day, through to New Hire Orientation. The key objective is to create a comprehensive and welcoming process that ensures that every Rubrikan has a positive onboarding experience and can quickly acclimate to their roles and the company culture.
  • Transition Ownership of Key Administrative Tasks: Lead efforts to transition key administrative tasks from People Partners to the People Services team. This includes providing support for the Annual Performance Review process, overseeing offboarding procedures, and handling other routine processes.
  • Global Process Development: Drive the development, approval, and documentation of global business processes in partnership with regional subject matter experts (EMEA, APAC, Americas).
  • Project Management: Manage and participate on project teams for business process reviews, project management, testing, documentation, and communication.

Requirements: 

  • B.S. degree in Business, HR, or related area.
  • Available to work onsite at the Palo Alto office 3+ days per week. 
  • Able to accommodate an adjusted schedule 1 to 2 days per week to accommodate meetings across time zones.
  • 6+ years of HR/HR Operations experience, including 3+ years experience managing teams and previous experience managing global mobility, immigration and onboarding processes.
  • Experience with Workday and Greenhouse ATS are preferred.
  • Strong understanding of HR, Payroll, and Finance business processes as well as intra and inter-departmental functions and interdependencies. 
  • Excellent written and verbal communication skills. 
  • Expert Excel/Google Sheets, and Word/Google Docs.
  • Ability to connect and effectively communicate with people of all levels.
  • Organized, proactive, and maintains a positive, team-focused attitude.
  • Must thrive in a fast paced environment where multitasking and prioritizing is necessary.
  • Ability to manage change effectively; always being mindful of technology, business processes, and systems implications.
  • Ability to motivate direct reports and others by providing an environment that promotes individual growth and reinforces Rubrik’s RIVET values and culture.

The minimum and maximum base salaries for this role are posted below; additionally, the role is eligible for bonus potential, equity and benefits. The range displayed reflects the minimum and maximum target for new hire salaries for the role based on U.S. location. Within the range, the salary offered will be determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
