General Purpose of Job:
The Gift Processing Coordinator provides a key element supporting and advancing the work of all functions within Development Services and key leadership. Possessing strong knowledge of fundraising practices (gift accounting, gift data entry using Raiser’s Edge, data systems structure and reporting) and paired with an advanced level of development experience, the Gift Processing Coordinator supports the data and business needs of the Advancement Development Services in order to maintain and strengthen our work with donors.
Essential Duties and Responsibilities:
- Manage gift accounting with timeliness and accuracy to ensure timely acknowledgement of contributions and tributes, consistently meeting or exceeding established benchmarks and in accordance with school Gift Acceptance Policies and GAAP. Sources include cash, donor-advised funds, stock, family foundation grants, matching gifts, third-party (e.g., United Way, CMN, employee giving, tributes and more through mail, online and e-solicitations).
- Support monthly and annual reconciliation gift process.
- Manage and perform standard reporting for internal and external constituencies to help all functional areas with performance tracking, analysis, and planning.
- Utilizing Blackbaud Products, and download of online donations and registrations into Raiser’s Edge using solutions to include but not limited to Omatic, One Cause, Classy, Constant Contact, Advisor, Giving DNA, BBM
- Create and maintain Raiser’s Edge dashboards to enable real-time tracking of event & campaign registrations and progress toward campaign goals.
- Assist in constructing Raiser’s Edge (RE) data structure with campaign, funds, appeals, and packages, tables, etc. in collaboration with the Director of Development Services and the Information Technology department.
- Perform standard querying for mailing lists, calling lists, email lists, directories/rosters, review lists, reports and more as directed.
- Execute global updates, changes or additions for appeals, invitations, actions, proposals and more in support of annual giving, major giving, prospect research, grateful families, donor relations, planned giving and campaigns.
- Manage outstanding pledges, overdue pledges, and recurring gifts third party gifts, etc.
- Manage data projects such as, but not limited to, volunteer biological information, grateful patient information, donor/prospect biographical, duplication of records, etc.
- Receive and respond to donor inquiries with friendliness and efficiency, answer phone and direct calls as necessary.
- Assist with Raiser’s Edge (RE) training components, helping to increase and maintain baseline knowledge of RE across the Development Department.
- Perform other related duties as required or assigned.
Education and/or Experience:
- Bachelor’s degree, preferred
- 4+ years of related experience and increased responsibility with Raiser’s Edge database
- Attention to detail, accuracy and appropriate thoroughness
- Ability to manage concurrent projects, set priorities and follow through on both long-term and short-term projects and meet deadlines
- Ability to develop creative database solutions to department needs
- High level of proficiency in word processing, mail merges and spreadsheet work using Microsoft Office tools, particularly Excel and Word
- Ability to maintain confidentiality and good judgment
- Ability to take initiative and identify and incorporate process improvement and new technologies
- Ability to work under pressure, respond to last-minute requests and display a willingness to acquire new skills and take on new projects
- Must have strong interpersonal and written/oral skills to interact effectively with donors, patient's families, visitors, hospital and medical staff
- Bilingual preferred (English/Spanish speaking)
Certificates, Licenses, Registrations:
- Certification in Raiser’s Edge Fundamentals+, preferred
- Notary Public, preferred
