About the Administrator position
We are looking for an experienced Administrator who will help with organization of corporate activities on a daily basis, supporting managers and ensuring our office procedures run smoothly. Your duties will include managing office equipment, booking meetings and events, arranging travel and distributing mail.
You should be highly organized, able to multitask with ease and have experience as an Office Administrator, Secretary or relevant administrative role. You should also be familiar with office software (e.g. MS Office), including word processors, spreadsheets and presentations.
Administrator responsibilities are:
- Administer control of visitor access system for the site
- Welcome, escort, and support visitors and guests
- Maintain the schedule of plant tours and meeting rooms
- Arrange business trips and make reservations for airline tickets, accommodation, etc.
- Control employee badge creation/replacement process and ensure integrity
- Support and/or coordinate employee appreciation activities as well as special events for internal and external participants
- Prepare, ship, and monitor small package and express mail items
- Confirm invoices; input the information in SAP and E-Accounting systems
- Communicate with all levels of employees across the organization and external stakeholders
- Perform general administrative tasks in an efficient and effective manner
- Provide support and guidance to expatriated employees for adapting to local community
- Provide support for the Managing Director as required
- Perform other duties as assigned
Administrator requirements are:
Education:
- (Required) High School diploma or equivalent
- (Preferred) Associate degree in a related field
Experience:
- (Preferred) Several years of relevant experience
Physical Demands:
- Must be able to frequently move about the manufacturing plant campus, general office environments, production areas, and occasionally ascend/descend stairs
- Must be able to remain in a stationary position 50% of the time
- Must be able to operate a computer and other office productivity machinery
- Must be able to position self to file documents including the top and bottom drawers of file cabinets
- Must be able to occasionally move office equipment and supplies weighing up to 25 pounds
