Job Description
Position Overview
The Finance Administrator plays a key role in supporting the studio’s financial operations, with a primary focus on accounts payable/receivable and transactional processing. This position ensures timely, accurate, and compliant processing of payments, expense claims, and invoicing, while providing excellent support to internal stakeholders and external partners.
This role is part-time (22.5 hours per week), and ideally, we would like the schedule to be Wednesday to Friday.
Qualifications
Key Responsibilities
- Manage the end-to-end Accounts Payable function, including:
- Requisition submissions
- Purchase order creation
- Invoice receipt and processing
- Payment request submissions using Workday
- Review and approve employee expense claims in Workday, ensuring accuracy, policy compliance, and appropriate supporting documentation.
- Process weekly payment runs and off-cycle payments, ensuring all system integrations and approval workflows are completed accurately and on time.
- Provide support to studio teams with urgent or ad hoc payment requests, offering guidance on procurement and finance processes where needed.
- Liaise with suppliers and customers to resolve payment queries, discrepancies, and related issues promptly and professionally.
- Prepare and issue monthly advertising sales invoices to customers.
- Follow up on outstanding receivables, proactively contacting customers to ensure timely payment and maintaining accurate records of communications.
- Weekly bank reconciliations.
- Maintain well-organized and accurate records of all accounts payable transactions in accordance with internal policies and audit requirements.
- Provide administrative support to the Finance Manager, including assistance with reporting, reconciliations, and other ad hoc tasks as required.
Key Skills & Experience
- Previous experience in an accounts payable/receivable role, ideally in a fast-paced environment.
- Strong working knowledge of Workday or similar ERP systems is highly desirable.
- Excellent attention to detail and ability to manage multiple priorities.
- Strong communication and interpersonal skills, with a collaborative approach.
- Proficiency in Microsoft Excel and Google Workspace (Sheets, Docs, etc.).
- Full working rights in Australia.
