The Office Manager & Field Coordinator will be the cornerstone of operational excellence in Spain, enabling the cross-functional team to execute their goals efficiently. This role combines office management with field coordination, supporting both administrative processes and field-based operations. The position requires a proactive approach to managing logistics, events, and vendor relations while ensuring the smooth day-to-day functioning of the office.
What will you do?
Office Management and Administration:
- Manage day-to-day office operations, including facilities and general administration, ensuring a safe and productive work environment.
- Develop, review, and implement administrative systems, policies, and procedures to optimize workflows.
Oversee and manage vendor/supplier relationships, including opening purchase orders, managing invoices, and ensuring timely payments. - Maintain appropriate filing and record management systems.
- Monitor and control office costs and expenses, preparing reports and budgets as needed.
Field Coordination and Support:
- Provide administrative and logistical support to field-based Commercial and Medical teams.
- Manage promotional material warehousing and logistics.
- Support organization and logistics for educational events, advisory boards, and scientific conferences.
- Administer contracts and financial processes for field activities, including onboarding vendors and reconciling invoices.
- Act as a back-office champion and go-to resource for the field teams.
Project Management:
- Manage special projects and provide project support to the Country Manager and leadership team.
- Drive meeting governance, organize team meetings, and maintain team calendars.
- Plan and execute internal and external events, ensuring flawless coordination and delivery.
- Assist with onboarding new employees and liaise with HR for local implementation of global HR initiatives.
Travel and Hospitality Coordination:
- Oversee complex travel arrangements, including accommodations and itineraries for team members and visitors.
- Provide support for basic hospitality requirements.
What minimum qualifications do we require?
- Bachelor’s degree in a relevant field.
- Minimum 3–5 years of experience in office management, field coordination, or a related role.
- Fluency in Spanish and proficiency in English (written and oral).
What additional qualifications will make you a stronger candidate?
- High proficiency in Microsoft Office applications (Outlook, Excel, Word) and experience with databases.
- Strong organizational skills and attention to detail.
- Exceptional interpersonal and communication skills, with the ability to solve problems and think critically.
- Solid planning and project management skills, with the ability to multitask in a fast-paced environment.
- Experience in the pharmaceutical industry or a related field is a plus.
- Familiarity with financial processes, including purchase orders and contract management.
- Ability to work both independently and as part of a collaborative team.
