Job Summary
Responsible for coordinating the documentation, planning, tracking and forecasting of all facility projects, repairs, preventive maintenance and department budget expenditures. Performs analysis of facility expenses and performs a variety of financial bookkeeping, tracking and reporting functions to support the Facilities Operations Department.
Responsibilities
- Assists Facility Regional Directors / Managers with various administrative duties to maintain facilities to defined standards
- Prepares financial related analyses for periodic budget / forecast updates and additional special report as requested by the Facility Director
- Responsible for organizing and maintaining files and completing operational and project-oriented tasks in a timely and efficient manner ensuring adherence to established guidelines
- Create CMMS work order tickets for repairs and route to the appropriate facility personnel
- Tracks work orders from inception to completion and administratively closes them
- Utilizes Microsoft Office to produce high quality reports, presentations, and other documents
- Participates in more complex projects and performs other duties as assigned by the Regional Facility Directors / Managers
- Create Purchase Requisitions and receive related invoices in the Facility finical system
- Acquires copies of and tracks validity & expiration dates of insurance certificate, building permits, certificates of capital improvements, certificates of occupancy, lien waivers, affidavits of payment to subcontractors, and/or and other documents required under the terms of the agreements being managed
- Maintains complete records of new and expired Contacts, Insurance Certificates for all Corporate Facilities vendors
- Maintains and administers Tax-Exempt Certificates, bid documents, Vendor Qualification requests and new vendor information
- Assist the Regional Facility Manager with on call (standby) and PTO (Paid Time Off) schedules for facility staff
- Assist Regional Facility Manager with the review of facilities requests daily and assign work to mechanics as needed to prioritize and maximize time management
- Provide vendor background and other checks for security requirements
Qualifications
- 3-5 years+ facility coordinator experience
- Knowledge of computer skills including MS word, Excel and PowerPoint
- Must be able to direct vendors and contractors
- Must have a professional attitude and presentation
- Knowledge of CMMS system for work order management
- High school diploma or GED required
- Administrating Assistant education or certification a plus
