Position Mission: Support the CEO and in their day-to-day operations and activities. Organize the initiatives of the CEO in a manner that optimizes business success while also achieving proper work-life balance. Familiarize yourself with the needs of the CEO’s personal and business world, allowing you to operate and pivot seamlessly between the two while remaining focused and streamlining tasks. Strive to learn the ins and outs of McGaw’s Marketing Technology & Analytics services and products. Grow to become a true partner to the CEO and his family, allowing you to anticipate needs, identify pain points, and make trusted suggestions. 

What You’ll Do:

Business 

  • Triage CEO’s inbox and ensure appropriate response time
  • Lead and assist with ad-hoc projects
  • Liaise with executive and senior management to handle requests and queries 
  • Lead and project manage the businesses OKR
    • Hold all teams accountable for the objective, key results and projects
  • Retrieve, review, and delegate physical mail from the virtual mail box 
  • Assist with other related clerical duties as required by the team (ex. data entry)
  • Lead People Operations and HR Initiatives)
    • Manage company equipment; purchase, track, clean, test, and transport to storage as needed 
    • Onboarding/Offboarding team members to the team
    • Coordinating with department heads and finances around HR updates
  • Perform research and collect information 
  • Support marketing efforts
    • Record the CEO for promotional content purposess
    • Support Social Media Management Efforts 
    • Mine and submit for speaking opportunities
    • Assist with general project management 
  • Coordinate internal and external business meetings 

Personal 

  • Support the CEO with family calendar
  • Research and plan family events 
  • Routine home maintenance
  • General errands
  • Ad hoc tasks and projects 

Skills, talents, and experiences needed to create superior results:

  • You have proven experience as a personal assistant 
  • You have at least 3 years of experience as an Executive Assistant for a leader, preferably at a fast-paced technology company
  • 4+ years of providing calendar management, travel, and expense reports
  • Knowledgeable in all core areas of content marketing
  • Experience in market research data, data analysis and statistics
  • An understanding of implementing successful marketing strategies
  • Have a genuine passion for all things related to visual communication, including visual marketing, design, data visualization, visual storytelling, presentations, infographics, etc
  • An eagerness to learn demand generation, outbound marketing, SEO optimization, conversion rates, and other relevant marketing masteries 
  • The ability to synthesize information into a clear, concise, user-friendly format
  • Demonstrated self-starter, high level of commitment, and ability to advance projects with minimal supervision
  • Ability to multi-task, manage time and priorities to meet deadlines while maintaining accuracy
  • Ability to remain nimble and flexible in an environment of changing business objectives
  • Service-focused, deliver a positive, professional, and consultative customer experience 
  • Proactive, plan ahead, thinking in short time frames as well as extended time frames - Planning the team's resources while keeping tasks within the scope and on time 
  • You're adept at mastering technologies we use, including Harvest, Trello, Loom, Zoom, Slack, and Google Docs

Job Description:

In this role, the ideal candidate will thrive working as part of a team, happily providing fluid support across a vast array of dynamic tasks regardless of the setting. This person is comfortable working from home, the office, and within the home of the CEO. This person has a can-do attitude and is eager to gain feedback to grow within the role and at the Company.

At the core, the Executive/Personal Assistant (EA/PA) is a driving position, meaning that communications and decision-making are paramount. Additionally, organization and prioritization are fundamental elements of the EA/PA’s responsibilities. This person must know how to keep themselves, and others organized and determine which tasks are the most important in a given list. This person should be resourceful, adaptable, proactive, and able to complete given tasks both collaboratively and independently. 

With a primary focus on supporting the business initiatives of the CEO, this person will concentrate 30% of their efforts on office/people operations and logistics, communications and correspondence, project management assistance, and supporting overall processes and productivity.
 

With a small focus on supporting the personal initiatives of the CEO, this person will concentrate 10% of their efforts on the family calendar and event planning, personal finance operations, routine home maintenance, and general life business administration.

The EA/PA will work to ensure nothing is being missed, forgotten, or not asked. They will act as a second set of hands for the CEO. A successful EA/PA is the backbone and lifeblood of the business, without which the Company wouldn’t run as successfully or smoothly.
 

Observable indicators to let you know you are performing well in this role. 

  • Confident and full handoff of CEO scheduling and calendar by your 60th day
  • The CEOs emails are triaged, delegated, and replied to within 72 hours by your 60th day
    • All emails which require attention by the CEO are starred, handled by CEO or by EA and followed up on 
  • Meetings and agendas are set, managed, and completed at least 1 days in advance by your 90th day
  • Family managed and at least half of the events are scheduled 90th day
  • Backlog of family business and projects completed by 120th day
  • Makes recommendations on process improvement & implementation by the 90th day 
  • The CEO spends less than 2 hours/week managing the email inbox by your 90th day
