As the Assistant to the CEO, you will be responsible for providing comprehensive administrative support, You will be the right hand to the CEO, providing high-level administrative assistance, managing complex calendars, coordinating executive meetings, and handling confidential information with the utmost discretion. This role involves managing the CEO's schedule, coordinating executive meetings, handling confidential information, and serving as a central point of communication between the CEO and other departments. In addition to these core responsibilities, the Assistant to the CEO plays a pivotal role in marketing and business development (sales) support, contributing to the firm's growth initiatives.


With a keen eye for detail, exceptional organizational skills, and effective communication abilities, you will be responsible for streamlining day-to-day operations, anticipating the CEO's needs, and contributing to the overall efficiency and success of our dynamic and fast-paced organization. This role demands a proactive and resourceful professional who can thrive in a collaborative environment, navigate shifting priorities, and act as a key liaison between the CEO and various internal and external stakeholders. Executive Assistant Responsibilities

  • Preview, organize, and prioritize CEO's daily emails, voicemails and other communications.
  • Play an active role in effectively managing the CEO's day-to-day schedule (aligning meetings, resolving conflicts, ensuring meetings stay on track, etc.).
  • Leverage existing CRM and productivity systems (Salesforce.com, Google Apps, others) to help CEO better scale activities and impact the organization.
  • Manage & coordinate CEO’s travel as necessary.

Business Development Responsibilities

  • Support outreach to high-level executives at prospective media clients to line up meetings between CEO and such executives.
  • Assist with the creation of budgetary estimates and proposals.
  • Restructure and cleanse CRM database with guidance from Sales leadership.
  • Support contact for key clients, maintaining positive relationships and ensuring client communication is organized and timely. This may involve scheduling client meetings, sending follow-up communications, and managing client-related documentation.
  • Research and identify potential leads or prospects within the target market. Compile and organize contact information for outreach, and assist in coordinating initial communications.

Marketing & Operational Responsibilities

  • Assisting with marketing initiatives as needed through partnership with Marketing Director.
  • Perform competitive analysis around other consulting organizations focused on media or media-focused solutions companies.
  • Lead high-value operationally focused projects, which may include company-wide analysis and organization of key content / assets currently in Google Drive.

Ideal Background & Key Professional Attributes

  • Two (2) to six (6) years of proven experience as an Executive Assistant, preferrably supporting C-level executives.
  • Strong sense of urgency & responsiveness to tasks, initiatives, and requests.
  • Experience working within the consulting industry
  • 1+ years of user experience in Salesforce.
  • Strong written, oral, and aural communication skills.
  • Passion for learning and self-awareness around areas for growth.
  • Ability to receive and apply constructive criticism and to manage conflict in a professionally mature manner.
  • Self-motivation and ability to overcome hurdles with reasonable guidance.
  • Proficient in Microsoft Office Suite and Salesforce applications.
  • Exceptional organizational and multitasking abilities.
  • Strong written and verbal communication skills.
