THE ROLE
A compelling opportunity to provide scheduling support to two senior leaders of a dynamic and innovative music industry company. This role supports the CEO and Chief Marketing & External Affairs Officer (along with other leaders as needed). The role demands a high degree of flexibility, organization of details and skill at managing & prioritizing multiple, competing tasks and projects. The role exists in a dynamic environment, and the individual must be very service oriented.
QUALIFICATIONS
· Three years of related experience
· Extremely strong organizational and time management skills
· Extremely strong written, verbal, interpersonal communication skills
· Extremely strong proficiency using Outlook, Word, PowerPoint, and Excel
· Proven track record of taking initiative, paying attention to the smallest details, meeting/managing tight deadlines
· Ability to manage and prioritize multiple complex tasks with minimal oversight
· Experience handling sensitive matters with discretion, diplomacy, and integrity
ESSENTIAL RESPONSIBILITIES
EXECUTIVE & SCHEDULING SUPPORT:
· Schedule in person and audio/video meetings, managing calendars and conflicts for supported leaders using Outlook, Teams and Zoom.
· Coordinate travel for supported leaders, including tracking and supporting itinerary changes real-time and creating detailed travel itineraries.
· Perform all necessary administrative tasks for supported leaders, including answering phones, screening calls, and taking messages; creating/updating reports, records, and documents; performing online research; and registering leaders (and others) for conferences, industry, other events.
· Help schedule, plan and support meetings of The MLC’s Board of Directors and Advisory Committees.
· Organize and submit expense reports for supported leaders using company’s online T&E platform.
MARKETING/PROJECT/TEAM SUPPORT:
· Provide administrative support for in-house and external events, such as shipping events materials and providing event support.
· Provide administrative support for other projects.
· Provide back-up coverage for front desk reception responsibilities for Office Manager.
