12-month Fixed Term Contract (Mat Cover)
You will provide exceptional administrative support to the New Zealand Leadership Team team to ensure the leadership team is well supported in the smooth management of daily operations. No two days will be the same, this role is full of variety and you’ll need to have great time management adaptability and prioritisation skills. We’re a fast moving dynamic business and you’ll need to be able to deal with all those last minute developments. You’ll be a super-efficient and organised ringmaster who keeps the plates spinning with a smile on your face!

What you’ll do:
- Keep the wheels of the NZ Leadership team running smoothly by proactive management of diaries, priorities and ensuring smooth flow of key information between and across teams
- Admin support to Heads of Departments; specifically:
- Schedule and manage Country Director calendar of events, coordinate and document meetings as appropriate, following up action items and resulting project initiatives as agreed. Ensuring NZ Leadership team is prepared for all meetings with internal and external stakeholders
- Prepare supporting documents - google slides, sheets, docs etc
- Developing and managing regular project plan progress reports for the Leadership team using Asana/Slack and other internal tools
- Expense/purchase order management - supporting the Leadership team by raising and tracking purchase orders, managing contracts, recurring purchase orders, receipting and payment processes
- Independent coordination of all day-to-day aspects of a specified program activity
- Program planning, implementation, and monitoring
- Implementation of effective operational/administrative policies and procedures specific to the achievement of the objectives of the program
- Support strategic improvement initiatives across the business
- Support event management and implementation
- Other general administration as required
- Take ownership of the weekly GTM NZ kick-off meetings, including coordinating and managing the schedule
- Prepare agendas, minutes, and other papers in a timely and accurate manner for the Sales Leadership Team.
- Attending sales team offsites to support the team would be required and would involve domestic travel.
- Work closely with the Chief of Staff, APAC to represent NZ having involvement with global projects, committees, change management programs as required.
- Co-ordinate the Go to Market monthly meetings, including the schedule and preparation of slides
- As the Team Assistant to the Country Manager you will lead by example and help to reinforce the Xero values and foster an inclusive environment.
What you’ll bring to the table:
- Experience
- Experience organising/managing resources and establishing priorities, managing multiple projects and stakeholders concurrently
- Previous experience in support services in a fast paced environment
- Competent use of project software such as Asana, Miro
- Proven experience managing a calendar of meetings and events for multiple senior stakeholders
- Organising/managing resources and establishing priorities
- Experience in working across multiple disciplines and teams in global organisations highly desirable
- Critical competencies
- Proactive, self starter with the ability to adapt
- Ability to work autonomously and as part of a wider team with a range of stakeholders
- Excellent organisational and planning skills with the ability to effectively prioritise workload to ensure that multiple activities are completed in an efficient manner to a high standard

- Strong written and verbal communication skills
- Ability to manage and influence various stakeholders and non-direct report in a complex environment
- Strong attention to detail
- Most importantly, a can do attitude and willingness to roll sleeves up and help out where needed!
- Strategic thinker, data-driven and analytical in approach to solving problems
- Systems and process-thinker; loves creating order out of chaos
- A high level of high integrity and experience dealing with confidential and sensitive information
