General Summary:

The Executive Assistant is responsible for serving as a liaison to other management teams, occasionally organizing and coordinating with external relations efforts, and overseeing special assignments. This role works in partnership with the leadership teams to be the primary point of contact for internal and external constituents on all matters pertaining to the Sales and Marketing departments.

Essential Duties and Responsibilities:

  • Provides support to cross functional teams, with a high attention to detail
  • Researches, analyzes, and documents findings
  • May influence others within the administration team through the explanation of facts, policies, and practices
  • Completes a broad variety of administrative tasks for the executive staff including completing expense reports, composing, and preparing correspondence that is sometimes confidential, arranging complex and detailed travel plans, itineraries, and agendas, and compiling documents for travel-related meetings
  • Plans, coordinates, and ensures calendars/appointments are up to date
  • Researches, prioritizes, and follows up on incoming issues and concerns, as needed by various leaders
  • Provides a bridge for smooth communication between all internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management
  • Successfully completes critical aspects of deliverables with a hands-on approach that facilitates the leaders’ ability to effectively manage their deliverables
  • Prioritizes conflicting needs, handles matters expeditiously, and follows-through on projects to successful completion, often with deadline pressures

  • Ability to work independently on projects and processes with general supervision
  • Practical knowledge of applicable work area
  • Ability to situationally adapt and understand new technology/processes as per leadership requirements
  • Exceptional written and verbal communication skills
  • Strong work ethic and impeccable judgment
  • Experience and interest in producing exceptional internal and external communications
  • Experience working with C-suite level executives
  • Experience in a Sales and/or Marketing organization facing role
  • Experience in Microsoft applications (ex. Teams, Outlook, Excel, etc.)

Working Conditions:

  • In office - Hybrid (Tampa, Fl)
  • 0-10% travel may be required
  • After hour calls may be required based on severity of issue
