In 2011 SkySlope started as an idea born at the kitchen table of our CEO, with just him and two others. Headquartered in Sacramento, California, we have since grown out of our previous 3 offices and many of our close to 150 employees are spread all across the United States. Those 150 employees support close to 300,000 users across 5,000 offices nationwide and now in Canada as well. Included in that is 8 out of the 15 largest Real Estate Brokerages in the nation.
But, despite being happy with what we’ve achieved we know that as industry leaders in our space there’s a lot of work left to be done. All of the growth and success that has happened is a result of us obsessing over building cutting edge software that makes the Real Estate world a better place. We know this only happens by hiring people who don’t just come up with out of the box ideas but hiring people who actually see those ideas through and bring them to life. The Executive Assistant (EA) to the Chief Operating Officer (COO) & President at SkySlope is responsible for providing high-level administrative and strategic support. This role ensures operational efficiency by managing schedules, communications, personal arrangements, and key projects for the executive. The EA must be highly organized, proactive, and capable of handling confidential information with discretion. They must also anticipate the COO needs before they arise, and provide seamless support to ensure the executive can focus on driving company objectives.
Essential Functions
- Administrative & Operational Support
- Act as the primary gatekeeper and point of contact for the COO & President.
- Manage and optimize daily workflows, ensuring tasks are executed efficiently.
- Handle all correspondence, including emails, calls, and messages, ensuring timely responses and prioritization.
- Draft, edit, and proofread internal and external communications.
- Prepare reports, presentations, and briefing materials for meetings.
- Maintain comprehensive and accurate records of documents, agreements, and notes.
- Assist in meeting preparation, including agenda creation, meeting minutes, and follow-ups on action items.
- Conduct research and compile information for executive decision-making.
- Responsible for maximizing COO’s time
- Manage and coordinate the executive’s calendar, ensuring optimal time management and prioritization.
- Schedule and confirm meetings, calls, and events, balancing business and personal commitments.
- Plan and coordinate travel (domestic and international), including flights, accommodations, activities, and itineraries.
- Ensure the executive is well-prepared for all engagements, including pre-reads and briefing documents.
- Organize offsite meetings, leadership retreats, and team events as needed.
- Anticipate the COO’s needs based on prior interactions and requirements.
- Regularly reassess and adjust the COO’s schedule in response to changing priorities
- Provide timely reminders for meetings, events, and important deadlines.
- Schedule personal appointments and reservations as needed.
- Coordinate vendor services and orders for the COO.
- Process bills and payments, submitting receipts and expense reports to the Controller.
- Maintain organized physical and electronic records of key correspondence and documents.
- Responsible for completing all tasks assigned by the COO
- Complete all assignments delegated by the COO with minimal supervision.
- Completes each task by deadlines with urgency, efficiency and accuracy
- Balances conflicting priorities in order to manage workflow, ensure the completion of essential projects and meet critical deadlines.
- Constantly seeks to exceed COO’s expectations with each assignment
- Handle both business and personal tasks with minimal guidance.
- Personal Support & Concierge Services:
- Handle personal appointments, errands, and tasks, ensuring a seamless balance between professional and personal life.
- Arrange and remind the executive of key personal dates (birthdays, anniversaries, special events), coordinating necessary arrangements (e.g., gifts, reservations, travel).
- Ensure daily needs are met, including managing dietary preferences and arranging daily tea/coffee or meals.
- Ensure office space for COO & President is tidy and stocked.
- Oversee and manage personal vendor relationships, household appointments, and family-related logistics.
- Project Management & Cross-Functional Support:
- Act as a liaison between the COO & President and internal departments, ensuring smooth communication and alignment on projects.
- Track key initiatives, deadlines, and deliverables to ensure progress and completion.
- Support in operational process improvements and executive-level initiatives.
- Assist with strategic projects that require hands-on support and execution.
- Event & Special Occasion Planning:
- Organize and manage executive-related events, including team offsites, leadership meetings, and personal celebrations.
- Handle logistics for corporate events, ensuring smooth execution from planning to completion.
- Coordinate holiday gifting, charity events, and recognition initiatives.
- Responsible for representing and communicating COO’s interests by exhibiting sound judgment and effectively communicating with all internal/external individuals
- Serve as a professional and effective representative of the COO, demonstrating sound judgment in all communications.
- Maintain confidentiality in all matters related to company strategy, financials, and personnel.
- Gauge cultural impact and reception on company pivots and communicate key updates.
- Represent the executive and company professionally in all interactions.
- Dress professionally for each day of work (modern business casual) and for events (business)
- Maintain a positive and approachable demeanor in interactions with internal and external stakeholders.
- Respond to inquiries from internal and external clients within 24 hours.
- Escalate issues or concerns to the appropriate parties when necessary.
- All team members are always encouraged to think outside the box and pursue opportunities to go above and beyond their job description and these baseline expectations, in order to make our customer's lives better.

Position Type/Expected Hours of Work:
- This is a full-time in-office position, and hours of work and days are Monday through Friday, 08:00 a.m. to 5:00 p.m. Monday through Thursday are in-office days with Friday having the option to work from home. Schedules require flexibility and may change or rotate depending on the needs of the Executive.
Required Education and Experience:
- 5+ years of experience supporting C-suite executives in a dynamic environment.
- Strong background in executive assistance, operations, or business administration.
- Proven track record of managing complex schedules, high-priority tasks, and executive communications.
- Experience in the technology industry or a fast-paced corporate environment is preferred.
- Excellent knowledge of Apple, MS office and Google Suite

What We Do
In 2011 SkySlope started out in the third bedroom of our CEO’s house with just him and two others. Every year since then we’ve experienced insane growth and after growing out of our previous 3 offices we have now settled into our new home in downtown Sacramento only two blocks away from the new arena and right in the heart of the action. The team has now grown from the original 3 to over 150 and our new space allows for us to aggressively move towards our goal of being 200 strong by the end of 2019.
