Position: Executive Assistant
Location: On-site (Irving, TX office)
Position Status: Part-Time; M-F: 9-2p
Position Summary:
Provide high-level administrative support for company leaders to ensure they can efficiently accomplish key tasks and company initiatives. They keep the executive’s communications organized so they can easily access the most important information without sorting through low-priority items. Executive Assistants screen all visitors and determine what level of support they need while offering polite, professional customer service. They manage the executive’s daily calendar, including scheduling meetings, confirming appointments, writing itineraries, and arranging transportation
Responsibilities:
- Provide administrative assistance, such as writing and editing emails, drafting memos, and preparing communications for the CEO, CFO, and Senior Leadership Team.
- Coordinate asset management shipping and receiving to/from the office location
- Coordinate travel and meetings and assist in expense reimbursement processing
- Provide office management assistance and maintain the suitability of the office for employees and customers, including ongoing relationships and correspondence with office property management
- Participate in Finance & Accounting team meetings and activities as a key member of the administrative support team
- Coordinate access for office-based staff to the building, office, workspace, and shared conference rooms
- Maintain and update desktop process guides for key activities and tasks
- Review and reply to certain inbound customer inquiries for billing or customer service assistance
