Job Description
Role Overview
To be located in Brookfield’s Luxembourg Office. The position will work closely with the local and abroad teams.
The Executive Assistant will provide comprehensive support to the team, including ensuring efficient interaction between the team and all other stakeholders. The Executive Assistant will also look after everything to do with Office Management. This role requires a proactive and highly organized individual who has the confidence to make suggestions and own certain projects. whilst working within a dynamic team
Key Responsibilities

Scanning, printing and saving executed documents on iManage.

Arranging for execution of documents.

Manage diaries across various global time zones.

Coordinate meetings (both internal and external), including preparation of meeting rooms and materials (including printing and binding).

Arrange travel and accommodation for the regional team.

Provide support to visitors from overseas offices.

Coordinate meeting room arrangements and hospitality

Prepare and submit expense reports monthly in accordance with company policy.

Maintain confidential files for team members in compliance with GDPR.

Provide support to other Executive Assistants and administrative staff during quiet periods, absences, and holidays.

Handle routine inquiries and confidential correspondence, as well as sorting post.

Assist in planning social events within the team.

Perform other ad hoc duties as requested by the team.

Carry out office management duties such as stationary orders, printer maintenance, beverages and snacks etc.
Technical Skills
-
Fluent in English and French
-
Proven track record as an Executive Assistant looking after a team (10+ people)
-
Proficiency in Microsoft Outlook, Word, and PowerPoint; experience with Concur is desirable but not essential.

Knowledge of the LBR platform and/or ability to perform RCS and RBE filings.

Knowledge of Diligent Boards.

Proactive with the ability to work independently or as part of a team.

Able to prioritize tasks decisively and resourcefully.

Attention to detail regarding flight and taxi times across time zones.

Flexible and adaptable. Able to cope with constantly changing priorities.
